If Students have been charged the wrong amounts, perform the following steps:
Check your charge detail using the View Charges window to see that you have the proper fees and rates in your table. If you have copied charges from a previous term, you may have forgotten to update the tuition and fees amounts.
Also, inspect the setup of the charge definition and charge detail. For charge definitions involving a usage code, the table may not be set up properly causing a student to fall into the wrong range and thus receive an incorrect charge.
Note that a common error is forgetting to add a table record for a value of 0 for a usage of N or R when charging a flat fee amount.
Use Recovery Method A or Recovery Method B to resolve this error.
The Hours Count, Course Count, and Tuition Count radio buttons on the Detail tab of the Hours window determine whether you will count by tuition hours, credit hours, or by course.
Check to see that you are counting the proper data. If you are charging a per credit hour fee and your hours/course/tuition count is set up to count by course, you will not have the proper amount in your hours bucket. You may prompt for valid values. If you are charging a per credit hour fee and your hours/course/tuition count is set up to count by course, you will not have the proper amount in your hours bucket.

A student is taking 5 three-credit courses and tuition is $100 per credit hour. If the hours/course/tuition column is set to count by course, the student's hours bucket will have a value of 5 instead of 15 and this student will be charged $500 instead of $1500. |
Use Recovery Method A or Recovery Method B to resolve this error.
Print out your Hours Definition and Hours Detail tables and go through them carefully. Look for any hours buckets that are used in more than one Hours Definition or for more than one purpose on the table.
|
You may have five academic programs, each having its own hours bucket, but two of the programs were set up so that they use the same hours bucket. A student who happens to be in both programs would end up having an hours count total for both and, in turn, may be charged incorrectly for each program. |
Check to see where on the charge detail your student data is matching. It may be matching the wrong row. Start this check by selecting one or two students who are being charged incorrectly. Use the View Student Data window to display or write an InfoMaker report that lists the data from the tables and columns used in the charge definition for that student for that year and term.
