Some Charges Worked, Some Did Not  

·       Check to see that you have charge amounts in the Charges Detail.

·       Check the Charges Definition and make sure they are looking at the columns you have intended. Have you actually used the correct column in the definition?

·       Check that the hours are generating properly.

o     Check your Charge definitions to see which hours buckets you are using. They will be columns 4-13 in the Student Hours/Courses table and will have a description such as "Hours/course count 1."

o     Check your hours buckets. You should check to see that there are hours in the "buckets" (columns 4-13) that your Charge definitions are using. If hours do not exist, look at your Hours definition and table. Look at the columns that are used and the values you are looking for in the Hours table. Do they correspond with what has been done in Registration? For instance, your Hours definition may be looking at the Transaction Status of a course, and the Hours table may be looking for a C denoting any one who is currently registered. However, your students may only be pre-registered and have courses with a Transaction Status of P (pre-registered). Also check your Hours/Course column on the Hours table. It determines whether you are counting by tuition hours, credit hours or by course. If you are looking at Tuition Hours and your courses only have Credit Hours, you will not get an hours count.

·       Check the usage columns (CHG_ELEMENT_USAGE_1, CHG_ELEMENT_USAGE_2, CHG_ELEMENT_USAGE_3, CHG_ELEMENT_USAGE_4, and CHG_ELEMENT_USAGE_5) on the Charges Definition table. For example, if the charge definition looks for a range of values, the usage code for that column should be an R. For a charge based on a rate, the usage should be M. To look for a range and base the charge on a rate, the usage should be an N.

·       Check to see that you entered the table data correctly. For example, if you expect to match a charge detail record to tuition type _A you must have _A___ in the table. If the charge detail record is supposed to match 11.99 credits, the correct way to enter the data is 01199. Also, check to see that you have charge amounts in the tables.

·       Check to see that the student records contain the data you expect. Start by picking one or two students that you think should get charged. Use these students as a test case.

o     Look at your Charges definition and identify the tables and columns they contain.

o     Take one charge and use View Student Data window or you can write an InfoMaker report that will list the data from the tables and columns used in the definition.)

o     Compare the student's data with your charge detail. If you find that the student's data does not have a match on the charge details, you will have to change the charge detail or the student's data. Use Recovery Method C to resolve this error.
