Purge Candidate Window

This window allows you to select and purge or delete a candidate or a list of candidates along with all related data.

If no ID Number is entered in the ID Number column, the appropriate default report in the Candidate List column will be used when running this option. You can customize this default report by clicking the Customize button.

An ID # may have many kinds of information associated with it. For example, there may be information from several candidacies, from previous enrollments, from employment, and from donations. This window deletes only information related to admissions, found in the Admissions and Common modules.

If you want only the candidacy records deleted, leave this checkbox cleared. It is cleared by default.

Use the charts below to see which tables are purged with this checkbox selected and with it cleared.

If the ID Number exists in any tables that are not listed below, data will not be purged in the following tables or elsewhere.

Purge Candidate Error Report

The Purge Candidate Error Report is always displayed at the end of the process and lists unsuccessful ID Numbers in the purge, or it indicates that the purge was successful. If unsuccessful, it displays the date and time, the ID Number, and text of the error that was encountered for each ID Number with an error, and the page number.

If the Purge Name, Address, Biograph Master and Other Common Data checkbox is selected and the Candidate portion of the purge is successful but the Common portion of the purge fails, the Candidate data will remain deleted and the Common data will remain in the database.

How To

1. Open the Purge Candidate window.

2. The following message will appear: "This option will delete all Admissions information selected in the report. Proceed to window?"

a. If you click No, the Purge Candidate window closes.

b. If you click Yes, the Purge Candidate window becomes active.

3. If you want to run this purge option for only one student, enter a single ID Number in the ID # column.

If you do not wish to run the purge option for an entire candidate list customized in the report, be sure to enter a specific ID Number in the ID # column

4. If no ID Number is entered in the ID # column, the appropriate default report in the Candidate List column will be used when running this option. You can customize this default report by clicking the Customize button.

Be sure to rename your report in the Design Mode of InfoMaker. Run your report in InfoMaker to ensure the correct data has been selected. Close InfoMaker. Select your new report from the drop-down list box.

5. If you run the InfoMaker report, the following message is displayed: "<Number> ID's will be deleted with this query. Continue?" If you click Yes, the process continues. If you click No, the process is aborted.

6. If you want to also delete information stored in Common tables, select the Purge Name, Address, Biograph Master and Other Common Data checkbox. (See chart above).

If the Name checkbox is selected and the Candidate portion of the purge is successful but the Name portion of the purge fails, the Candidate data will remain deleted and the Name data will remain in the database.

7. Click OK.

8. You can accept the default location to store the report file in the Enter Error File Name for Purge Candidate prompt window, or you can click the icon to open the Select Text File window to select a new location and enter a name for the text file. Click OK.

9. The Admissions Purge Error Results window displays the Admissions Purge Error Results Report, which lists unsuccessful ID Numbers in the purge or indicates that the Purge process was successful. This window allows you to manipulate the data in the report.
