Reporting Ethnic and Race Information to the NSC

Race and ethnic information is collected for reporting to various agencies including the National Student Clearinghouse (NSC). The Race/Ethnic column appears in a number of NSC report windows:

·       NSC Edit Transmittal Detail Records

·       NSC Edit Transmittal History Records

·       NSC Edit Student Data Records (labeled NSC Ethnicity and Race)

Collecting the Data

For NSC reports, you collect information on race and ethnicity on the Student Information window | Biograph tab | Ethnic/Race subtab. (The Biograph tab appears in a number of windows and stands alone as the Maintain Biographical Information window. Its data is stored in the Biograph table.)

When you save the Ethnic/Race values, J1 calculates the value in the IPEDS column on the Ethnic/Race tab. These are the IPEDS Ethnic/Race definitions, and they can't be edited:

0 IPEDS value not specified

1 Nonresident Alien

2 Race and Ethnic unknown

3 Hispanics of any race

4 American Indian or Alaska Native

5 Asian

6 Black or African American

7 Native Hawaiian or Other Pacific Islander

8 White

9 Two or more races

Mapping the Data to the NSC Codes

NSC has its own codes for race and ethnic information, and they're different from the IPEDS codes. Therefore, for reports to the NSC, the information in the Biograph table needs to be mapped to the NSC codes. You do the mapping on the  using the NS11 Update Type.

Mapping the Difficult Values

The "NP" Native Asian/Pacific Island NSC value is an example of one that doesn't map cleanly to an IPEDS Ethnic/Race value. Your school must determine the data elements that you can use to associate a student with the NSC "NP" value.

In the example below, ELITE PAINT was used to display BIOGRAPH_MASTER.UDEF_2a_4 on the Student Information window  to store an additional value.

How the Tables Are Populated

When you use the Create NSC Transmittal and Final Files window and click the Populate Transmittal Tables button, the data collection process runs all of the NSC Clearinghouse Data Update Rules and populates columns in the NSC Transmittal Detail window. That information is then used to populate the text file that you actually submit to the Clearinghouse.
