A session represents a block of time and is defined using the beginning and ending dates. Use this window to define student life sessions. You can determine when a session starts and ends, if it is actively in use and/or available to campus portal (JICS) users, and associate billing periods/charge terms.
If you are using billing periods, you can only use a billing for one session. For example, the Spring 2013 billing period can only be assigned to the spring session. |
If you are working in Registration, a session code can be associated with a nontraditional course allowing you to print reports for your institution. |
If your school uses J1 Web Student Life, you will only be able to view existing session information here. To add or edit sessions, use J1 Web Student Life. |

Billing Periods for Session*
Use this drop-down pick list to select the billing period to be associated to the session. This determines what fees are applied to the session.
Review or select the applicable 1098-T academic year related to the billing period and session.

Charge Term Groups for Session**

Select or review the charge year to be associated with the session.
Select or review the charge term to be associated with the session.
Housing Charge Codes for Session
Select or review the housing charge associated with the session.
If the needed type of session isn't listed, access the Miscellaneous Charge Codes window or contact your Accounts Receivable office. |

1. Select Add Row or Insert Row from the right-click menu.
2. In the Code field, enter a unique code that can be used to identify the session.
3. In the Description field, enter a brief description of the session code.
4. From the Session Type drop-down pick list, select the kind of session being added, if needed.
If the needed type of session isn't listed, right-click and select Maintenance Screen to add a new one. |
5. In the Start Date and End Date fields, enter the dates the session starts and ends.
6. In the Order field, enter the sequence number to indicate this new session's order in relation to other sessions.
Session order can impact the order in which sessions appear when printed in reports. |
7. If the session will be in use, select the Active? checkbox.
A session must be active in order to be available in J1 Desktop and campus portal (JICS). |
8. To make this session available in campus portal (JICS), select the Show on Web checkbox.
9. If you are working with charge years and terms, you can associate a year and charge term to the session:
a. From the Year drop-down pick list, select the charge year to be associate with the session.
b. From the Charge Term drop-down pick list, select the charge term to be associated with the session.
c. To
associate another charge year and term to the session, click the Add button.
A new row appears. Repeat steps A and B.
d. To
remove a charge year and term from the session, select the one to
be removed and click the Remove
button.
10. If you are working with billing periods, you can associate a billing period to the session:
a. From the Billing Period drop-down pick list, select the billing period to be associated with the session. If the related 1098-T Year, Term, and Term Description have been defined for the billing period, they automatically appear.
If the needed type of billing period isn't listed, access the Billing Periods window or contact your Accounts Receivable office. |
b. From the 1098-T Year drop-down pick list, select the 1098-T year to be associated with the session, if needed. The related Term and Term Description appear.
c. To
associate another billing period to the session, click the Add
button.
A new row appears. Repeat steps
A and B.
d. To
remove a billing period from the session, select the one to be removed
and click the Remove button.
11. To associate a housing charge with the session:
a. From the Housing Charge Code drop-down pick list, select the appropriate housing related charge.
If the needed type of session isn't listed, access the Miscellaneous Charge Codes window or contact your Accounts Receivable office. |
b. To
associate another housing charge to the session, click the Add
button.
A new row appears. Repeat step A.
c. To
remove a housing charge from the session, click the one to be removed
and click the Remove button.
12. Click the Save button.

If the needed type of session isn't listed, right-click and select Maintenance Screen to add a new one. |

b. From the Charge Term drop-down pick list, select the charge term to be associated with the session, if needed.
c. To
associate another charge year and term to the session, click the Add button.
A new row appears. Repeat steps
A and B.
d. To
remove a charge year and term from the session, select the one to
be removed and click the Remove
button.
8. If you are working with billing periods, you can update the billing period associate with the session:
a. From the Billing Period drop-down pick list, select the billing period to be associated with the session, if needed. If the 1098-T Year, Term, and Term Description have been associated with the billing period, they automatically appear.

9. If needed, update housing charges related to the session:
a. From the Housing Charge Code drop-down pick list, select the appropriate housing related charge.
If the needed type of session isn't listed, access the Miscellaneous Charge Codes window or contact your Accounts Receivable office. |
b. To
associate another housing charge to the session, click the Add
button.
A new row appears. Repeat steps

c. To
remove a housing charge from the session, click the one to be removed
and click the Remove button.
10. Click the Save button.
Add a Billing Period to

1. Select the session to be updated. The corresponding session information appears.
2. From the Housing Charge Code drop-down pick list, select the appropriate housing related charge.

Delete a House Charge Code
from the Session
