NSC Degree Verification Reporting Process

The NSC DegreeVerify service is a central source that employers, schools, and background screeners can check to confirm an applicant's listed degrees. Your school can participate for free in order to build the central database of degrees.

Prepare this report on the NSC Degree Verification Data Collection and Transmission window. The window's tabs lead you through the steps.

Created batches can't be deleted once they've gone through this process, so it's not a good idea to play or experiment in the production database.

Which Students Should Be Included?

You should include all students who received degrees in the reporting period except those with a Foreign Student status. (You can exclude them in the NSC Degree Verification Data Collection and Transmission window | Collect Data tab.)

Students with FERPA and Financial information blocks are reported to NSC, but flagged so that NSC doesn't release their blocked information.

 

There are several ways to flag student information as blocked.

·       FERPA

o      Student Information window | Name tab | FERPA Restricted checkbox (Name Master table)

o     NSC Degree Verification Data Collection and Transmission window | Collect Data tab | FERPA Block checkbox (to use RBU NS7)

o     NSC Degree Verification Data Collection and Transmission window | Detail Records tab | FERPA Block checkbox

·       Financial

o     NSC Degree Verification Data Collection and Transmission window | Collect Data tab, either:

§      Rules Based group | Financial Block checkbox (to use RBU NS8), or

§      Outstanding Financial Obligation group (select the appropriate holds to use holds instead of RBUs)

o     NSC Degree Verification Data Collection and Transmission window | Detail Records tab | Financial Block checkbox

·       Foreign Student (ineligible for federal financial aid)

o     NSC Degree Verification Data Collection and Transmission window | Collect Data tab | Exclude Non-Resident Aliens checkbox

o     NSC Degree Verification Data Collection and Transmission window | Detail Records tab | Exclude from Report checkbox

 

If a student is reported with a financial block and later the block is removed, you need to amend the report and resubmit it so that NSC can report the student's degree.

Outline of The Steps

The process goes through these steps:

1. Create a New Batch

Open the NSC Degree Verification Data Collection and Transmission window.

As soon as the window launches, the NSC Records Select Batch window pops up to let you create a new batch.

When you click a button, the pop-up closes, and you see the NSC Degree Verification Data Collection and Transmission window again. Step through the tabs from left to right.

2. Collect the Student Information

On the Collect Data tab, select the header information: FICE / Branch, NSC Degree Period, and Report Date. Then configure your settings for gathering information, and click Populate NSC Tables.

There are many options for collecting data and whether it replaces or adds to existing data. For details on all the options, see the NSC Degree Verification Data Collection and Transmission Window topic | Tabs | Collect Data.

 

If you use the FERPA Restricted flag in the Name Entity window (Name Master table) to block FERPA-restricted information, and if you use holds to block financial obligation information, then they'll be blocked from NSC reports. But if you need another way to block them, select these checkboxes in the NSC Degree Verification Data Collection and Transmission window | Collect Data tab before you click Populate NSC Tables.

3. Edit the Details, Header, and Trailer

On the Detail Records tab, verify the information. You can remove or add students as necessary. The fields are editable, so you can make changes, but the changes are for the report only. They don't apply to the student master database table.

 

Edits you make in this window affect the report only. They don't carry to the J1 database tables such as Student Master. To edit the J1 database, make changes in the appropriate windows (such as Student Information window | Degree tab). Then you can recollect your data in this window.

 

On the header Records and Trailer Records tabs, verify the information. Some fields are editable.

4. Finalize the File

After you've verified the details, header, and trailer, go to the Prepare Final File tab. Click the Create Final Transmittal Files button. The report is created.

5. Send the Report

You can view the report in the View/Send Final File tab. Select the file and view it in that window or open it in Microsoft Notepad. When you're ready, click Secure FTP to transmit the file to NSC.

In the Reports tab, you can view or print any of your reports or save them to another location.
