Relationships Tab (Review Internet Submission Window)

If the Submission Type is Admissions Inquiry - New (320), Admissions Application - New (330), or Student Request (530), this tab may be displayed even if no data is submitted for the RELATED_PERSON mapping table. If available, this tab is used to review any relationship information that is included in a submission that needs to be saved to the RELATION_TABLE table.

This tab displays data for each defined relationship that has been submitted and displays a grid showing existing relationships. The tab allows you to:

· Assign a submitted related person to an ID_NUM (ID Number) shown for an existing relationship.

· Search for an existing record for a submitted related person and create the relationship using the specified relationship code.

· Create a new ID Number if the related person/organization does not already exist in the NameMaster (Name Master) table and create the relationship using the specified relationship code.

· Update the personal data for the related person/organization through the direct assignment of an existing relationship ID Number or by selecting an existing ID Number via the Duplicate Name Search window once an assignment is made to an existing ID Number.

· Unassign an assigned ID Number in the case where you might have made an incorrect assignment prior to saving the data.

The Submitted Relationship Info pane displays the following submitted information (read only) for the related person/organization: relationship row number, relationship, the appropriate status icon, name, ID Number, address, phone information, employer information, work phone information, and (optionally) the organization contact name. Example. It may also display e-mail information, biographical information, and additional relationship information. The submitted information comes from questions mapped to the RELATED_PERSON logical mapping table. Each row mapped to the RELATED_PERSON table contains data entered by the user and is displayed as a separate grouping with the specified relationship displayed at the top of each grouping. If the relationship code specified in the form does not exist in the RELATIONSHIP_DEF table, "(Invalid Relation Code)" is displayed instead of the relationship description.

The following existing relationship information in the J1 database is displayed in the Existing/New Relationships grid: assign/unassign icons, associated relationship row number, relationship code/description, ID Number, name, begin date, end date, attitudes, notes, and corresponding relationship notations. You can update any rows displayed in this grid. Example

If there are submitted related persons/organizations, a sunburst icon (

) is displayed next to the "Relationships" label on the tab.

	Search	If a related person/organization in the Submitted Relationship Info pane does not match any of the existing relationships displayed in the Existing/New Relationships grid, you should click the Search icon beside the related person/organization group being reviewed. Clicking this icon runs a duplicate name search using the submitted information for the person/organization. If one or more matches are found, the Duplicate Name Search window opens and displays all of the existing ID Numbers that match the submitted information. You can select a row and click the Select Match button or click the No Match - New ID button to create a new ID Number, or click the Cancel button to return to the Review Internet Submission window. · If no matches are found by the Duplicate Name Search process or if you click the No Match - New ID button on the Duplicate Name Search window, a second Review Internet Submission window opens displaying the submitted information on the Name tab. Once the information is saved on the Name tab for the related person/organization, the remainder of the tabs on the secondary Review Internet Submission window are enabled and display the remaining submitted data for the new ID Number, which also can be saved. When the second Review Internet Submission window is closed, a new Relationship row is created in the Relationship grid using the newly created ID Number and the relationship code specified with the submission for the selected person/organization grouping and 'assigned' to the related person/organization. The Search icon is also changed to a Verified Data icon (green check mark) to indicate that the data was verified. · If one or more matches are found by the Duplicate Name Search process and you select one of the matches and click the Select Match button, a new Relationship row is created in the Relationship grid on the Relationships tab and 'assigned' to the selected person/organization grouping. In this case, the Search icon changes to a Lookup and Compare icon (the magnifying glass with the green arrows). Once an assignment is made between a newly created Relationship row and a person/organization grouping, the icon next to the selected Relationship row changes to the Unassign/New icon (the diagonal red squares with the yellow sunburst) and the second column in the grid changes from 0 to the number next to the selected submission grouping. Also, the ID Number of the selected Relationship row is displayed in parentheses at the right side of the related person/organization grouping.
	Lookup and Compare	Assigning an existing Relationship row to a submitted grouping allows you to verify that the submitted data for the specified ID Number is correct in the J1 database. Once an ID Number is associated with a person/organization grouping, you can click on the Lookup and Compare icon in the left pane to check the submitted information for the person/organization against the information for the specified ID Number in the database. When you click the Lookup and Compare icon, the Review Internet Submission window displays a second time showing the submitted person/organization information. The sunburst icon shows differing values and the Compare Data button can be used to view the differences between the submitted values and the database values. Only the Name, Address, Biograph, and Relationship tabs are available. Changes can be saved to the existing ID Number for the related person/organization on this secondary Review Internet Submission window. Once the data is reviewed and any required changes saved, you can close the secondary Review Internet Submission window, which changes the Lookup and Compare icon to the Verified Data icon in the Submitted Relationship Info pane of the first Review Internet Submissions window.
	Verified Data	This icon is displayed after you have already checked the submitted data. You can do nothing more with this data unless it is unassigned from the selected ID Number.

If it appears that the relationship already exists in the J1 database, you can click the Assign icon to associate the REL_ID_NUM from that Relationship row to the selected grouping in the Submitted Relationship Info pane.

After clicking the Assign icon, the icon next to the selected Relationship row changes to the Unassign icon (the diagonal red squares connected by red lines), the second column in the grid changes from 0 to the number next to the selected submission grouping, the ID Number of the selected Relationship row displays in parentheses at the right side of the related person/organization grouping, and the Search icon displayed for the related person/organization grouping changes to a Lookup and Compare icon.

If you try to assign a new ID Number to a related person/organization in the Submitted Relationship Info pane who already has an ID Number, the following message is displayed: "The selected submission data have already been assigned to an ID_NUM. Please Unassign the ID before trying to assign another ID to the selected submission data."

If you decide for some reason to remove the assignment, you can click the Unassign or Unassign/New icon for the selected ID Number in the Relationship grid. This will revert the Unassign or Unassign/New icon back to the Assign icon, set the group number in the Relationship grid back to 0, remove the ID Number from the person/organization grouping, and change the Lookup and Compare icon back to the Search icon.

You will be prompted with the following message: "Removing this assignment will delete the newly created RELATION_TABLE rows, but it will not delete any NameMaster, BIOGRAPH_MASTER, and/or AddressMaster rows that have been created with the submitted data. Continue?" If you click No, the delete action is canceled. If you click Yes, the ID Number is removed from the related person who has been associated with the selected Relationship row and the Search icon replaces the Lookup and Compare or Verified Data icon in the Submitted Relationship Info pane. The corresponding row is deleted from the Existing/New Relationship grid.

Mappings

The mapping information will only be used after a related person/organization has been assigned an ID Number through the assignment to an existing Relationship row or the selection of ID Number via the Duplicate Name Search window. This allows you to compare the submitted information for the related person/organization to any existing information in the J1 database. Jenzabar assumes that if you have to create a new ID Number, then no comparison to the J1 database is needed since the submitted information was used to generate the ID Number and the Relationship row.
