You must purchase a license to use Scholarship GPA.
Scholarship or Special GPA can be used to calculate a GPA based on a selection of courses across multiple divisions. You may choose to identify the courses that will contribute towards the scholarship GPA by using the Add to Special checkbox. GPAs are calculated for each term by using attempted hours, earned hours, GPA hours, and quality points from a view of the Student Term Summary based on the Student Course History. This calculation will include only those courses for which the Add to Special GPA checkbox has been selected. If you chose in the Registration Configuration window to truncate or round to a specific decimal point, this will be taken into consideration as well.
For All Schools Using Plus (+) or Minus (-) Grades: If you use plus (+) or minus (-) grades in your Grade Table, you can select a non-plus or non-minus grade to be used for state reporting by entering the non-plus or non-minus grade in the For State Report Grade column on the Grade Table Definition window. The value in the For State Report Grade column is then used to calculate the GPA in the Scholarship GPA View.

if a student had a B+ but the For State Report Grade column had a B, then the Scholarship GPA View would use the quality points from the B grade. The result is displayed on the Scholarship tab of the Student Inquiry window. |
You may want to exclude certain courses from contributing to the Scholarship GPA such as remedial courses or courses used only to accumulate credit for a diploma or certificate program of study. This can be done by not selecting the Add to Special GPA checkbox on the Catalog window. When this is done, all Section Master rows which are created from the Catalog Master (as well as Student Course History rows which are created from the Section Master) will also be excluded from contributing towards this Special GPA. In addition to this structure, you may also use the checkbox on the Register by Student window on individual courses for which a student has been registered to be excluded from the Scholarship GPA.
The criteria for each tier or level must be defined to determine the student's status. As grades are entered, the student's scholarship GPA will be automatically updated. Then, when the Academic Recalc process is run at the end of a term, the student's eligibility for each tier is captured and recorded for historical purposes by using the Scholarship GPA Update process. At this time, you can also run the Scholarship Eligibility Update process to import data from the Student Award table in Financial Aid Manager.
You may view the student's courses that have contributed towards the Scholarship GPA by looking at the Add to Special GPA column on the Courses tab of the Student Inquiry window. If the checkbox is selected, the course will count towards the Scholarship GPA. The Scholarship tab of the Student Inquiry window will display eligibility and level details by year and term.
In addition to calculating a Special GPA, reports on a student's eligibility for scholarships and a scholarship course report can be produced. You may also create a Scholarship GPA transcript in both landscape and portrait layouts using the Transcript 2000 window.
The following processes must be performed to utilize the Scholarship GPA functionality:
· Select the Enable Add to Special GPA checkbox on the Registration Configuration window. This will allow the necessary windows and columns to appear within Registration.
· Identify the courses that will contribute towards the Scholarship GPA on the Course Attributes tab of the Catalog window by selecting the Add to Special GPA checkbox. If a course is selected on the Catalog window, that same course will also be automatically selected on the Section Schedule window. If necessary, this default can always be changed at registration time on the Register by Student window.
· Identify the students who are entitled to the Scholarship GPA by selecting the Eligible for Scholarship checkbox on the Student tab of the Student Information window.
· Select the attempted, earned and GPA hours on the Grade Table Definition window that will be added to the scholarship hours calculation.
· Define the different levels or tiers that will be used during the Scholarship GPA update process to determine the progression of a student in the GPA Tiers Definition window.
