This window is used to select options for copying courses from previous terms to new terms. It is accessed through the Copy Courses to New Term window as part of the process for copying courses to new terms.
To begin defining the Year/Term/Subterm of the course, select the year and term of the new course.
· If you are going to copy some or all of the courses to a Subterm, select the Copy radio button (if you wish to remove Subterm information from the new term, click the Do Not Copy button), then select the Subterm from the drop down list.
· If every course is to be placed into the selected subterm, select the Stamp on Every Course Copied radio button (note that this will assign all selected courses to the selected Subterm!).
· If only courses that were previously assigned to a Subterm are to have the selected Subterm when copied, select the Stamp Only on Courses That Already Have a Subterm radio button.
· If you want the dates of the new courses to be determined by the previously-determined year/term or year/term/subterm start and end dates, select Use The New Year/Term or Subterm Dates For The New Course Begin And End Dates radio button.
· If you would prefer to use the dates from the courses being copied instead, select Use The Dates From The Course Being Copied to Calculate New Course Begin And End Dates radio button.
Select any of these checkboxes to use the existing dates to determine the new courses' dates:
· For Web Regsitration Add and Drop Dates
· For Grade Entry Begin and End Dates for each Grading Period
· For Grade Blackout Start and End Dates for each Grading Period
The checkboxes are deselected by default.
You can copy the course text (the long course description) from either of these places:
· Courses or Courses
(Non-Traditional) window | Course tab | Master 2 subtab | Text field
(Selected by default)
· Catalog window | Course Description tab | Catalog Text field
You can also choose not to copy the course text.
You can copy a billing period to the new courses. If you want to copy a billing period, you can select either of these:
· Use the New Year/Term or Subterm for the
Target Billing Period [selected by default]
(In other words, use the billing period assigned to the target year/term
or subterm.)
· Use the Billing Period for the Copied Courses

In the Schedule Records group box, you can opt to copy the course's schedule. The checkbox is selected by default.
In this example, we will assume that we are copying courses from year 2009, Fall term (code FL), which has two subterms, 1 and 2:

We have selected the four courses to copy in the Copy Courses to New Term Window, selected Copy Course from the right-click or Options menu to open the Target Year/Term/Subterm window. We have selected year 2010 in the year drop-down list box and FL in the term drop-down list box.
One of the courses has only one subterm that we want to retain. We want to place the course that does have a subterm into subterm S1 of the 2010/FL term. So we select the Copy radio button and Subterm 1 in the drop-down list. We do not want our two courses that do not have subterms to be put into this subterm, so we select the Stamp Only on Courses That Already Have a Subterm radio button.
We want the new courses to use the New Year/Term or Subterm Dates for the new courses, so we leave that radio button selected. With these options selected, the new courses will be copied with the following information:

Course 1 is pretty straightforward. The course dates for the original course were the same start and end date as the term, so the start and end dates for the new course were the same as the start and end dates of the new term.
Course 2 is not quite as straightforward because the start and end dates are not the same as for the term. The old course start date (9/15/2009) is 23 days after the old year/term start date (8/23/2009). When the new course is copied over, the new start date is set at 9/14/2010 because that is 23 days after the start date of the new term. The class is 61 days long, so the end date for the new class is set for 11/14/2010.
Course 3 has a subterm and the start and end dates are the same for the subterm in the old course. When the course is copied into the new subterm, the start and end dates of the new subterm are used. In this case, a start date of 08/23/2010 and an end date of 09/24/2010 result (note that the dates are earlier for the new course because we copied a course from the Subterm 2 into Subterm 1).
Course 4 is similar to Course 2, in that the dates of the original course are not the same as the subterm start and end dates. The original course start date was 7 days after the original year/term/subterm start date. Therefore, the start date of the new course is 08/30/2010, seven days after the start of Subterm 1 of the 2010/FL term. The class is 18 days long, so the new end date is 09/16/2010.

For those courses that do not have the same start and end date as the year/term or year/term/subterm, you may want to review the courses to ensure that the end date does not lie on a day your institution is closed (for example, a weekend day or holiday). |
