Successfully transferring J1 addresses to PowerFAIDS requires institutions to define and use Address Type.
As a campus, you should decide how you are going to classify your different addresses. For example, address codes PGDN (Guardian/Parent), PFTH (Person Father), and PMTH (Person Mother) could all potentially have the address type P (Parent) associated with them. Once you start using the four PowerFAIDS Address Types, do not delete them. The four PowerFAIDS Address Types include L (Local), P (Parents), C (On-Campus), and F (Off-Campus). Make sure that all users on your campus are aware of the decisions made regarding address type. Otherwise, information may not transfer between databases. |
In addition to the *LHP address, it is possible for you to move one additional address from J1 into PowerFAIDS.
1. Using the Common module, set up an Address Type in the J1 Address Master table.
a. Open the Maintain Addresses window.
b. Highlight one of the addresses.
c. Right-click in the Type column, and choose Maintenance Screen.
d. The Maintain Table Values window opens with the Column Name of addr_type.
e. Add a row for each of the PowerFAIDS Second Address codes that you want to use. If you think that you will use all four codes (C, F, L, and P) at some time in the future, create them now.
f. Save.
2. In the Financial Aid Manager module, open the PowerFAIDS to J1 Address Type Cross References window.
a. Select Add Row from the right-click menu.
b. From the drop-down list in the J1 Address Type column, select the first of the PowerFAIDS Address Types you entered in Step 1e.
c. From the drop-down list in the PowerFAIDS Address Type column, select the value you wish to associate with this J1 Type.
d. Repeat Steps 2b and 2c until you have cross-referenced all address type codes.
e. Save.
1. Open the Configure Optional Student Data Elements to Transfer window.
2. Decide if you want to update only the primary address, only the secondary address, or both the primary and secondary addresses in PowerFAIDS.
3. To update the primary address, select the following fields: Street 1, Street 2, City, State, Country, ZIP, ZIP+4.
4. To update the secondary address, select the following fields: 2nd address destination, 2nd addr street 1, 2nd addr street 2, 2nd addr city, 2nd addr state, 2nd addr country, 2nd addr zip, 2nd addr zip+4.
5. If you want to include phone numbers associated with each primary and/or secondary address, include Telephone for primary and 2nd addr telephone for secondary.
6. Save and Close.
1. Open the Create Student Update to Financial Aid window.
2. Select
the Address Priority code
that will be used to collect the appropriate address from each student.
The Address Priority code will identify the first two addresses for a student
and select those to be transferred as the primary and secondary addresses
for PowerFAIDS. If you are electing to only transfer a single address,
either primary or secondary, then only the first address found for the
student based on the Address Priority code is transferred.
3. Complete all the other required data choices on this window.
4. Click OK or Schedule to launch the data collection and transfer process.
When the External Update is executed in PowerFAIDS, you should see additional updated address information on the Contact Information panel of the Personal Profile view in PowerFAIDS.
