Header (Gift Data Entry Window)

This pane of the window describes the gift group and gift numbers, donor, amount, kind, purpose, etc.

Columns

Icons

This icon is displayed if the selected ID Number has an outstanding pledge (i.e., if one or more transactions for the current donor exist in the GIFT_TRAN table with a GIFT_CLASS of 'PT' and PMT_RECVD of 'No'). If you move your mouse over the icon, the following tool tip is displayed: "This donor has pledges available to pay." Open the Advanced Gift Entry Options window to see these open pledges (click the Open Pledge(s) Exist button).

This icon is displayed if there are any receipting instructions for the selected ID Number (i.e., if one or more rows exist for the current donor in the RECPT_INSTRUCT table). If you move your mouse over the icon, the following tool tip is displayed: "This donor has receipting instructions." Open the Advanced Gift Entry Options window to see these instructions.

Options

If the cursor is on the Category column, the following menu options may be available from the right-click or Options menu:

Always available. You can also access this by double-clicking on the Adv. Options Available.

Only available if there are transactions in the Transactions pane of the window. On a new gift, this option is available after the information has been entered in the top pane and when information is being entered in the middle pane.

Only available if there is a value in the Letter to Send column.

Is available depending on the column of focus. For example, if you right-click on the Scholarship column, the option is "Scholarship Lookup."

Always available. This is the only way a new gift or changes to an existing gift can be permanently entered into the database.

When you accept a gift, the soft credit ID Number should have a default constituency code. If, for some reason, there is no default constituency code, the following message is displayed: "You must have a Constituency Code. Edit Transaction and choose a relationship."
