Tables and Columns Used in Repeat Process

A number of columns in the J1 database affect the flagging of repeat courses at the time of registration.

The values for this column are Automatic (A ) or Manual (M ). This column is used only in the Mark Forgiven Logic process. Even if a school sets this flag to Manual (M ), the Repeat Flag will be set to R during the registration process.

Repeat flag based on

This flag is based on C (Catalog) or U ( Advising Requirement Code) and determines whether the Catalog Master Course Code or the Student Course History Advising Requirement Code is used to select a set of courses to evaluate for the Repeat Logic.

Grade to use

The values for this column are Best (B) and Most Recent (C). This column is used by the Mark Forgiven Logic to determine which course to mark with an R and which one(s) to mark with asterisks (*).

FORGIVE_HURT_TIL_R

Forgive Course with * from * until R

The values for this column are Yes (Y) and No (N ). This flag is used to determine how hours and GPA are calculated in the year and terms between the original occurrence of the course and any repeats of the course. Set this flag to N if you wish the hours and quality points of a course with an * to be used to calculate career hours and GPA in that interim period. For example, if a student gets an F, you want the F to count in the GPA calculations until the term in which the student gets a better grade.

The values for this column are Yes (Y) and No (N ). This flag is used to determine whether or not repeat courses with an * are added to the hours and GPA for the term.

Handle Repeats in Lab Courses Separately

The values for this column are Yes (Y) and No (N ). This flag is used in both the Registration process and the Mark Forgiven Logic function. If Y, the repeat process uses the component stored in REG_CONFIG. LAB_COMP to compare courses without a value in that component only to other courses without a value in that component AND compare courses with a value in that component only to other courses with a value in that component.

Grade Excludes Course from Repeat Process

The values for this column are Yes (Y) and No (N ). This flag is used in both the Registration process and the Mark Forgiven Logic function. If a Student Course History record has a Grade Code on the Grade Table that is flagged to Exclude from Repeat Process, then an X is placed in the Repeat Flag of a course with this grade. This is a visual indication that this course was excluded from the determination of R's and asterisks in the repeat process.

For Repeat Process Use Credit Hours

The values for this column are Yes (Y) and No (N ). This flag is used by the system in Repeat processing. This column should be checked for grades that do NOT contribute to GPA Hours if you want a course receiving the grade to be used in marking R's and asterisks (*). Credit hour are used to calculate the R's and * since there are no GPA Hours to use. If you use Pass/Fail grades, they are good candidates to use this flag.

Course Repeatable

The values for this column are Yes (Y) and No (N ). This flag is used in the Registration process to determine whether or not the student may register for any given course more than one time. A message is provided if the course is not repeatable.

HRS_TOWARD_DEGREE

Hours Allowed for Degree

This is the number of hours that may be accumulated toward the students degree for this course. In the case of a 3.00-hour course that a student may repeat to improve their grade, this column should be set to 3.00 hours. This means that if the student takes the course 3 times, the repeat logic will mark one of the rows in Student Course History with an R and the other two with an *. If the student may take a course such as Piano Lessons for credit for multiple semesters, then this column should be set to 999.00 and none of the registrations will be flagged as repeats.

Times May Be Taken

This column does not prevent a student from registering for a course a set number of times. However, the system provides a warning during the Registration process when the student is exceeding the number of times set in this column.

The following are valid values for this column: R (Repeat), * (Forgiven) and X (Excluded). The R can be placed in the Repeat Flag column at the time of Registration and is updated.

Repeat Count (Student Course Details window)

When the student takes a course for the second time, this column gets stamped with 1 (for 1 repeat, not the number of times taking the course). It is incremented each time the student takes the course again.
