Holds Overview

Holds can be defined by Hold Codes (examples) in the Holds Setup window and used to flag Student Master records on the Student tab in the Student Information window, indicating that there is a problem with that specific student (e.g., unpaid tuition, honor code violations, outstanding bookstore charges). The Holds Setup window includes three tabs: Hold Type, Hold Type Access, and Hold Definition. The Hold Type and Hold Type Access tabs allow schools to determine the Application (Tasklist) Groups that have access to specific types of holds.

Hold Code definitions are stored in the Holds Definition table. This table allows control for how Holds display in the campus portal features for students, parents, and faculty. Any Hold Code can be associated to one Hold Type. If no Hold Type is selected on a Hold Code row, than all users who have rights to view student holds will be able to view those holds.

You can update and remove holds from Manage Holds window, and, if they're not associated with privacy requests, you can delete them there, too.  

Holds for a selected student can also be viewed on the Financial Aid Inquiry window.

All Holds are stored in the Holds Transaction table and displayed on the Manage Holds window.

·       The Manage Holds window can be opened by clicking the View/Add Additional Holds button on the Student Information, Student Information Impacting Charges, and Financial Aid Inquiry windows or by clicking on the Holds icon that displays following a student's name in most windows where you select an ID Number to retrieve data about a student.

·       You can track when Holds are added and/or removed and who took those actions.

·       Each student has six Student Master Hold Columns. Triggers keep the data for the Student Master Hold Columns in sync with the Student Holds (HOLD_TRAN) table, which allows schools to continue to use reports that reference the Student Master Hold Columns and also to assign more than six Holds to a student.

·       When a hold is assigned to a student, it may prevent them from registering, receiving a transcript, or receiving a grade report based on the settings you have defined on the Hold Definition table for that specific code. On the Holds Setup window, you may enter only one or multiple settings, which allows you to select Hold or Warning for the Hold Transcript column, while setting the Hold Registration to None or vice versa. When you indicate that a Hold Code is a Registration Warning, then the Allow Web Registration checkbox become editable. Selecting this checkbox allows a student with that Registration warning to register on the Web even though the warning exists. The Override Holds checkbox must also be selected in the Web Registration Configuration window to allow this registration.

·       The AR Hold column in the Registration/Transcript Holds group box on the Student Information window is populated by the Business Office Flag column on the Student Information Impacting Charges window in Accounts Receivable (AR). The AR Hold column is used by AR users, and RE users should use Hold 2-6 columns and/or the Manage Holds window. Only individuals with the correct permissions as assigned in the Registration Permissions window by the administrator can override holds or warnings.

When the user selects a ID Number in various windows, several icons may be displayed beside the name.

·       If the user is in a group that has Application (Tasklist) Group permissions to the Manage Holds window, the icon is displayed if the student has one or more Holds.

o     Hover over the icon to view a short description of the Holds.

o     Click on the icon to open the Manage Holds window.

·       If the user is in a group that has Application (Tasklist) permissions to the FERPA Permissions window, one of the following icons is displayed.

o     The is displayed if the student has granted FERPA permissions that are active. Click this icon to open the FERPA Permissions window to view FERPA permissions the student has granted.

o     The is displayed if the student has granted FERPA permissions that are inactive.

campus portal (JICS)

Active holds (based on Start and End Dates) from the Manage Holds window are displayed in campus portal (JICS). Hold information from the Display Text for Students rather than the Hold Code/Description is displayed. In some features, the How to Resolve the Hold Information is also displayed.

Grade Holds in campus portal (JICS)

If the student has a Grade hold, the student cannot view their Student Course History records in the Grade feature and in the Unofficial Transcript feature.  In the Course History feature they can see their records without their grades.  If the Override Grade Report Holds column on the Web Registration Configuration window is selected, then students can view their records.

Transcript Holds in campus portal (JICS)

If the student has a Transcript hold, the student cannot view their transcript in the Unofficial Transcript feature.

Registration Holds in campus portal (JICS)

·       If the student has a Registration Hold or a Registration Warning that does not allow Web registration, the student cannot register for courses in the Course Schedules feature.

·       If the Allow Web Registration checkbox is selected, then the student is able to register for courses in the Course Schedules feature.

·       If the Override Holds is selected in the Web Registration Configuration window, then the student is able to register even if the hold is a Registration Hold.
