At the end of every academic term, grade reports are issued to students and/or parents of students that show a list of courses taken in that year/term along with total quality points and GPA for the term and for their career.
The Academic Record Update is the process that calculates the Grade Point Average (GPA) and updates the appropriate tables.
· Step 1: The Academic Record Update determines which grids to update for each Student Course History row (the Transcript Division on the Student Course History record identifies the grid). If a student has taken courses in two divisions (e.g., Graduate and Undergraduate), two grids will exist for that student.
· Step 2: The Academic Record Update determines Attempted hours, Earned hours, GPA hours, and total Quality Points for the Student Course History. The Grade Scale, Credit Type, and Grade from the Student Course History record are used to access the Grade Table. Once accessed, the Grade Table record determines if the Student Course History credit hours will be added to Attempted hours, Earned hours, and GPA hours. The Grade Table also indicates the number of quality points per credit hour. The Academic Record Update performs the following calculation: Credit Hours X Quality Points = Total Quality Points for the course.
· Step 3: The Academic Record Update determines the row of the grid in which to place the course: Transfer, Local, Career, and Term. Remember, the Academic Record Update does not update the Work row since it is user-defined criteria.
· Step 4: The Academic Update Record accesses existing grid information from the Student Division Master table and the Student Term Summary by Division table. Course totals for Attempted hours, Earned hours, GPA hours, and Quality Points are added to the grid. Then, the program recalculates the GPA column for each of the rows on the grid using the following calculation: Credit Hours X Quality Points = Total Quality Points for the course.
A student registers for one graduate-level course (Transcript Division = GR) in the current term and receives a letter grade of C on the current grading scale:

When the Student Course History table is updated for this course, the following occurs:
· Since the Transcript Division is GR, the Graduate grid is chosen for update.
· The program accesses the Grade Table entry for Grade Scale CU, Credit Type LT, and Grade C and follows the directions of this sample Grade Table.
· The program adds the Student Course History credit hours (3.00) to Attempted, Earned, and GPA hours. In addition, it multiplies the Quality Points (2.00) by the credit hours (3.00) to determine the total Quality Points for the course (6.00).
· Since the course was taken locally (it was not entered as a transfer on the Transfer Course Entry window), the Student Course History will add to the Local, Career, and Term rows on the grid.
· The program adds the course hour totals into the Graduate grid and recalculates the GPA. The new Graduate grid totals are stored on the Student Division Master table and Student Term Summary by Division table, and the student's grid is updated as follows:
