Any custom table must be set up so that the TE_PGMR_ROLE, which is a database user, has SELECT, INSERT, UPDATE, and DELETE permissions in order for the table to be recognized by the module and therefore available to be added as a custom mapping table.

If you delete or change an existing column in a custom table, be sure to delete all mappings to the column from any campus portal (JICS) form that uses the changed/deleted column. If the column was changed, you must recreate the mapping in the form in order for the changes to be recognized by campus portal (JICS).

The Available Tables column displays all tables that are available for use in mapping campus portal (JICS) submissions. The table list is ordered alphabetically and by default includes J1-supplied tables that are typically used by an Admissions Office for applications and inquiries and *_UDF tables you can use to create custom data columns for mapping to questions on the campus portal (JICS) forms. It will also include any user-defined tables that have been added for mapping. When you select a table, the available columns in that table are displayed in the Mapping Columns grid.

When a table is selected from the Available Tables drop-down list box, a list of columns available for mapping is displayed in the Mapping Columns grid. For the J1 model tables used in Admissions, most of the columns are available for mapping. The columns that are not available for mapping include the logging columns (i.e., JOB_NAME), columns that are typically updated automatically through the code (such as NAME_MASTER.DTE_CONFIRMED and CANDIDATE.COUNSELOR_INITIALS), and columns that would most likely not be asked of a candidate on an application or inquiry (such as ADDRESS_MASTER.POSTNET_BARCDE_ZIP).

If the table selected from the Available Tables drop-down list box is a custom table or a user-defined (*_UDF) table, the existing table structure is checked against the currently defined mapping columns for the table to determine if any columns have been added to or deleted from the selected table. If columns have been added, you are prompted to ensure that the various mapping settings are correct before using the mapping columns in campus portal (JICS) forms. If columns have been deleted, you are prompted to remove the mappings from any of the campus portal (JICS) forms that are currently mapped to the deleted column.

Each column of the table that is displayed in the Mapping Columns grid may have user-definable settings. These include the options to pre-populate the columns on the form with data from the J1 database and to include whether or not to allow a blank or null submission value to override an existing database value.

Select All checkboxes are available for the Is Available to Pre-populate and Allow Blank to Override DB options so that the user can select all or clear all of the checkboxes in one or both of the columns.

If your school added a new column to a UDF table or a new custom table and you want to make it available for mapping in Form Builder or FormFlow, you must perform the following steps:

• Access the Manage Mapping Tables window and select the updated table or add a new custom table. That window checks for new columns and adds them to the list.
• Access the Internet Submissions window and select each submission type that you want the columns to be available for and make the columns available.

1.    On the Manage Mapping Tables window, click the Add Table button.

2.    The Add Custom Table prompt is displayed. Enter the new table name and description.

3.    Click either the Add Table and Return button to add the table and return to the Manage Mapping Tables window or the Add Table and Assign Submission Types button to add the table and open the Assign Submission Types window or the Cancel button to return to the Manage Mapping Tables window without adding a custom table.

4.    The window automatically checks for existing columns in the custom table and adds them to the list of mapping columns available for the table. Primary key columns and logging columns (i.e., USER_NAME) will not be added to the list.

 

1.    On the Manage Mapping Tables window, select the appropriate custom table from the Available Tables drop-down list box.

2.    Click the Assign Submission Types button. The Assign Submission Types window opens.

3.    Choose the submission types to use or not to use and click the appropriate button.

4.         Click Save, and click Close to return to the Manage Mapping Tables window.

5.         Open the Internet Submissions window and select a Submission Type to which you have associated the custom table.

Form Builder 1.0 submission types do not allow for custom tables to be mapped.

6.    Click the Review Mapping Details button. The Review Submission Mapping Details window opens.

7.    Select a custom table from the Available Tables drop-down list.

8.    Select Is Available for Mapping next to each column you want mapped.

9.    Click Save.

 

1.    On the Manage Mapping Tables window, select the appropriate custom table from the Available Tables drop-down list box.

2.    Click the Delete Table button.

If any of the columns on a custom table that is being deleted are referenced by a submitted application or inquiry, the table will not be deleted. It can only be unassigned from the application and inquiry form types so that the columns on the table are no longer available for mapping. Also, you must update the form(s) in campus portal (JICS) to remove the mapping to the custom table's columns if you wish to no longer use the table in online submissions.
