If the Submission Type is Admissions Inquiry - New (320), or Admissions Application - New (330), this tab may be displayed even if no data is submitted for the CANDIDATE and CANDIDACY mapping tables. If available, this tab is used to review any information that is included in a submission that needs to be saved to the CANDIDATE table in the J1 database.
|
If only Hidden Data/Custom Text is submitted for a table/row combination (i.e., Table, Row #), the data for that row is ignored. |
The Submitted Candidacy grid displays the Submitted Candidacy row, which includes the Submitted Program, Submitted Year, Submitted Term, Submitted Division, Submitted Location, Submitted Stage, and Submitted Current (Candidacy). It is displayed above the Multiple Candidacy grid that displays existing Candidacy rows including the existing Current Candidacy row.
The Multiple Candidacy grid allows you to view all Candidacy rows to determine if the information submitted is an update to an existing Candidacy or if the submission is a new Candidacy. You can associate the submitted data with an existing Candidacy row, compare the data and then save the data to that row, or you can create a new Candidacy row. Any Candidacy-related information submitted (including user-defined information) will be saved to the selected or new Candidacy row. Depending on the data submitted, some of the columns in the Submitted Candidacy row may be empty; if no Candidacy information was submitted, the entire Submitted Candidacy row will be empty.
By default, the Submitted Candidacy row is selected. If you click on this row, any submitted data is displayed in the 6 subtabs at the bottom of the window. If you click on an existing Candidacy row in the Multiple Candidacy grid, its data is displayed in the 6 subtabs at the bottom of the window.
Requirements (displays current database information from the Requirements table)
History (displays current database information from the Stage History Transaction table)
When a Candidacy row is saved to the CANDIDACY table per mapping values detailed on the General and User Defined subtabs, stage processing may also take place.
If the Stage column for an existing Candidacy row has been modified or a new Candidacy row has been created and you choose to do the Stage Change processing when prompted, the Stage Date is set to the current date and time. Also, appropriate Action Lists are attached to the candidate's Notepad (or Action Lists stopped), and appropriate Requirement Lists are attached to the Candidacy.
Additionally, if the Stage for any one of the candidate's candidacies are in a campus portal (JICS) creation stage (i.e., the Candidate campus portal (JICS) Account Create radio button is selected on the Edit Stage Configuration window for that stage), a campus portal (JICS) Account is created if it does not already exist. The Candidacy and the Candidate role are also created in campus portal (JICS) for this ID Number. If all the Stages of the existing Candidacy rows are in a campus portal (JICS) Delete stage (i.e., the Candidate campus portal (JICS) Account Delete radio button is selected on the Edit Stage Configuration window), the campus portal (JICS) Candidate role is deleted.
