Creating Subsidiary Master Rows

Students and others must have Subsidiary Master rows before you can create charges, credits, and statements. Subsidiary Master rows can be created in several ways.

1.    Manually Entering Subsidiary Master: The Subsidiaries window allows you to create or update Subsidiary Master rows one person at a time. You can create a Subsidiary Master row for any name in your organization's Name Master table and pair that name with any one of the Subsidiary Control accounts.

2.    Adding Admitted Students to A/R: The Add Admitted Students to Subsidiary Master window allows you to automatically create new Subsidiary Master rows for a selected group of individuals. Many organizations choose to select students who have just been admitted by the Admissions Office.

3.    Generating Charges and Refunds: When you generate charges and refunds based on Registration information using the Student Charges window, the system creates transactions to subsidiary accounts. If the student does not have a Subsidiary Master row, the program creates one.  

The program may use Tom Wise's registration to charge $1,000 to the A/R - Regular control account. If Tom does not already have a Subsidiary Master row for the A/R - Regular control account, the program creates one.

4.    Transferring Financial Aid Disbursements: When a financial aid group is edited and posted, a Subsidiary Master row is automatically created, if none exists. To override the default, see Subsid Code (Student FA Master).

When the system automatically creates the Subsidiary Master rows, it uses the Default A/R Subsidiary Type as the subsidiary type on the Subsidiary Master row. After the Subsidiary Master row is created, you can change the subsidiary type on a Subsidiary Master row at any time either manually using the Subsidiaries window or automatically (via an InfoMaker spec).

Remember to use the same subsidiary type code on each Subsidiary Master row for a student.
