Use this window to grant or deny specific users permission to create shared links, tasks, and reports for other J1 Desktop users on the workspace and activity centers.
You can grant Module Manager Jane Smith permission to create shared links and reports for the ADDEPT, ADMANGER, and ADUSER user groups.
· User
Displays the system user's ID.
· Name
Displays the user's name.
Select this checkbox to allow the user full workspace privileges. This automatically selects all of the permissions checkboxes for the selected user.
Select this checkbox to allow the user to push links to allowed user groups.
Select this checkbox to allow the user to push reports to allowed user groups.
Select this checkbox to allow the user to push tasks to allowed user groups.
· Can Push Custom Content Links
Select this checkbox to allow the user to push custom content links to allowed user groups.
· Can Set Custom Content Link as Group Default
Select this checkbox to allow the user to set the custom content link as the group default for allowed user groups.
· Can Set Custom Content Link as System Default
Select this checkbox to allow the user to se the custom content link as the system default for allowed user groups.
Groups Tab
· Allowed
Displays a list of user groups for whom the selected user can assign activity centers or push items (i.e., links, reports, tasks, etc.).
Displays a list of user groups for whom the select user does not assign activity centers or push items (i.e., links, reports, tasks, etc.).
· Group ID
Displays the user group identification number.
Describes the Group ID. For example, Group ID J1_ADMIN may be described as Jenzabar J1 Security Managers.
Functions Tab
· Allowed
Displays a list of user groups for whom the selected user can assign activity centers.
Displays a list of user groups for whom the select user does not assign activity centers.
· Module
Identifies the module in which the function is included.
· Function
Displays the function ID number.
Describes the function ID number. For example, Function 3 may be described as Address History.
Grant a User Workspace Permissions
1. Access the Workspace User Permissions window.
2. Select the user for whom you are granting workspace permissions.
3. To allow the user full workspace privileges, select the Select All for User checkbox. This automatically selects all of the permissions checkboxes for the selected users. To assign specific workspace privileges, select from the available checkboxes.
Users will full workspace privileges can also view and edit other users' workspace items using the Maintain My Workspace Items window.
4. To select the user groups for which the user may push links, reports, and tasks, set custom content links, and assign activity centers:
a. Click the Groups tab if it is not already selected.
b. From the Not Allowed panel on the right-hand side, select the user group to which you are allowing the user to assign workspace related items.
To view the users assigned
to the user group, click the View
Group Membership
icon. The Group
Membership window appears.
c. Drag the user group to the Allowed panel or click the Add Arrow button.
d. Click the Save button. The user can now push links, reports, and tasks to all the users in the selected user group. The user can also associate the user group to an activity center if the user has permissions to create and/or maintain activity centers.
5. To select the functions (i.e., activities) for which the user may associate with an activity center:
a. Click the Functions tab.
b. From the Not Allowed panel on the right-hand side, select the functions/activities for which you are allowing the user to create links and reports or associate with activity centers.
If you do not have access
to an activity, the You do not have
license to
icon
displays.
c. Drag the function/activity to the Allowed panel or click the Add Arrow button. The function/activity is added.
d. Click the Save button. The user can now associate the function(s)/activities to an activity center if the user has permissions to create and/or maintain activity centers.
Remove a User's Workspace Permissions
1. Access the Workspace User Permissions window.
2. Select the user for whom you are revoking workspace permissions.
3. Deselect the specific workspace privileges checkboxes.
4. To remove user groups for which the user may push links, reports, tasks, set custom content links, or assign activity centers:
a. Click the Groups tab if it is not already selected.
b. From the Allowed panel on the left-hand side, select the user group which you are not allowing the user to assign workspace-related items.
To view the users assigned
to the user group, click the View
Group Membership
icon. The Group Membership window appears.
c. Drag the user group to the Not Allowed panel or click the Remove Arrow button.
d. Click the Save button. The user can no longer push links, reports, or tasks for the users in the user group, or associate the group with an activity center.
5. To select the functions/activities which the user may not have permission to associate with an activity center:
a. Click the Functions tab.
b. From the Allowed panel on the left-hand side, select the functions/activities you are not allowing the user to associate with activity centers.
If you do not have access
to an activity, the You do not have
license to
icon
displays.
c. Drag the function to the Not Allowed panel or click the Remove Arrow button. The activity is no longer allowed.
d. Click the Save button.
