1.    Open the Sports Tracking window.

2.    Click on the level of the tree in the Available Sports tree on the left.

3.    Click the Add Row button.

4.    Select the appropriate ID Number, Year, Term, and Sport for which the information is to be created.

5.    If you click on a particular sport in the tree, then that sport and the year and term are defaulted into the Add Sports Tracking Row window.

6.    Enter or select the appropriate ID Number.

7.    Click OK.

 

This feature can be used to copy year/term, sport or student information from one year/term to another.

1.    Open the Sports Tracking window.

2.    Click on the Year/Term, Sport, or Student row in the Available Sports tree. The data appears in the Sports to be Copied section of the window.

3.    Remove rows if necessary. You may not necessarily want to copy all of the rows from one year/term or sport to another. In the Sports to be Copied window, you may select a row and click on the Remove button. This will only remove the row from view and not from the database. This feature gives you the option to modify the data to be copied.

There may be 50 students listed for a particular year/term in baseball. If you would like to copy only 45 of these students, you can use the Remove button to eliminate the 5 rows before using the Copy function.

4.    Click on the Copy button in the bottom right corner of the window.

5.    Select the Year, Term, and Sport for which the information will be copied.

When copying the sports information for an entire year/term, the sport selection will not be available since all sports will be copied from one year/term to another.

6.    Click OK.

 

The User Table tab displays data from the SPORTS_TRACKING_UDF (Sports Tracking User Defined) table for the selected student. This table allows your institution to define any additional Sports Tracking data elements that you need to have for purposes other than GRS. Your IT staff will need to add the desired columns to the database and modify the udf_sports_track_user form to display the columns.

 

1.    Open the Maintain Table Values window.

2.    Locate the Column Name of sports_cde and press Enter.

3.    Right-click on any row and select Add Row.

4.    Enter the table value and table description of the new sport you would like to include in the SPORTS_TRACKING table.

5.    Enter the Alternate Value 1 for which the new sport will be mapped.

1. 1	'FOOTB'	Football
   2	'BASKB'	Basketball
   3	'BASES'	Baseball
   4	'TRACK'	Cross-Country and Track
   5	'OTHER'	Other Sports

You may add 'SWIM' as the table value, 'Swimming' as the table description, and select number '5' as the alternate value. This means that whenever you select this sport for a student, the IPEDS reporting will count the student in the "All Other Sports" category since the mapping number of 5 has been identified. You must choose one of the existing default mapping numbers (1-5); otherwise, the student(s) associated with the added sport will not be included in the count for IPEDS reporting when the data is captured.

6.    Click Save.
 

OR

1.    Open the Sports Tracking window.

2.    Select the appropriate Year/Term, Sport, and Student in the Available Sports tree, which populates the columns on the Sports Tracking tab.

3.    Click the Add Row button.

4.    The Add Sports Tracking Row window opens with the Year, Term, and Sports Code columns populated.

5.    Click the Maintain Sports Tracking Codes button.

6.    Clicking this button closes the Add Sports Tracking Row window and opens the Maintain Table Values window with a column_name of sports_cde.

7.    Enter the appropriate values. Alternate Value 1 must be correctly populated for GRS Sports Tracking.

8.    Save. The Maintain Table Values window closes, and the Add Sports Tracking Row window reopens.
