IPEDS Configuration Window

This window allows you to maintain the settings that control IPEDS reporting (both data collection and reporting).

The IPEDS Configuration window is used to configure file layouts for IPEDS and GRS Reporting. These configuration values either control the process of the reports or provide a place to enter values that the school only needs to enter once. These configuration choices for each file layout will be reflected in the data captured and displayed on the Regulatory Reporting window for the Fall Enrollment, 12 Month Enrollment, Completions, and GRS reports.

Institutional Configuration

Enter the Unit ID assigned to you by the Federal Government.

Enter the name of your institution for IPEDS Reporting.

From the drop-down list, choose Four Year School or Other depending on the category that describes your institution.

Select this checkbox if your institution is only a Graduate school. Fall Enrollment Part D is not generated if you are solely a Graduate school.

From the drop-down list, choose the default nationality of your institution (in all but a very few cases, this will be US United States).

From the drop-down list, choose the location of your main campus.

Gender Settings

Although in IPEDS reporting all students are reported as either M or F, if your school tracks other genders, you can report the number of Other, too. The Other count is a separate piece; the male and female percentages add up to 100%.

To track other genders, your school could use the Gender Identity field on the Name Entity window, Biograph tab, Master subtab.

Can Report Other Gender (Undergrad): Select this if your school tracks Other or Unknown genders for undergraduates.

Can Report Other Gender (Graduate): Select this if your school tracks Other or Unknown genders for graduate students.

How the Gender Settings Are Used in Reports

For IPEDS reports, the system first takes the value from the Sex at Birth field (biograph_master.gender) on the Name Entity window, Biograph tab, Master subtab. When you create a snapshot for the report, that value appears in the Biograph Gender column (ir_student_data_biograph_gender) on the Institutional Research Student Data Records window, Detail tab.

The reported gender is in the Gender column (ir_student_data.declared_gender) on that same Detail tab, and it's calculated from the Biograph Gender value.

If you select Can Report Other Gender, the counts for Other and Unknown appear in a separate part of the report. They're calculated from Other and Unknown values in the Biograph Gender field and the students' current division (student_master.cur_stud_div).

If you don't select Can Report Other Gender, the system enters -2 in the appropriate report fields.

Dual Enrolled Settings

Select all the checkboxes that describe your school's participation in dual enrollment courses.

Which Reports to be Filed

This drop-down list is used to choose the reports to be generated by the IPEDS Reporting process. Jenzabar recommends that you select BTH.

· <None>

· EF Fall Enrollment for all Institutions

· E12 12-Month Enrollment

· BTH Fall and 12-Month Enrollment

Select the appropriate EF Report to use for your institution:

· EF1 - 4-year degree granting

· EF2 - 2-year degree granting

· EF3 - 2-year and less than 2-year non-degree granting

If you select EF3 and because data that Public and Private schools must report vary, you must select either the Public Institution or the Private Institution radio button. The default is Public Institution.

If you selected the EF 1, EF 2, or EF 3 Report to Use radio button, the 12-Months Date Range is 1 - July 1 - June 30 and cannot be edited.

Select this checkbox if you plan to submit the Completions report.

If you selected the Completions checkbox, the Completions Date Range is 1. July 1 - June 30 and cannot be edited.

Select the GRS Report to run:

· G1 GRS for 4 Year Institutions

· G2 GRS for 2 Year Public Institutions

· G3 GRS for less than 2 Year Institutions

Select the GR200 Report to file:

· G21 - GR200 for 4 Year Institutions

· G22 - GR200 for Less than 4 Year Institutions

Select the GRS Supplemental report to file:

· GS2 - GRS Supplemental for less than 4 Year Institutions

· GS4 - GRS Supplemental for 4 Year Institutions

This Web address for NCES is used to submit your reports. This address is also displayed on the Web Import File tab on the Regulatory Reporting window.
