If you need to enter data for reporting, the BEST method is to enter the data in the J1 tables for columns that the Create New Records and Update Existing Records functions use rather than entering the data in the International Students and Exchange Visitors window. If you enter the data in the International Students and Exchange Visitors window and then run the functions, data in the International Students and Exchange Visitors window are overwritten and are not saved to the J1 tables. For example, if you do not create a *LHP address (foreign address) in the Address Master table but enter it in the Address tab of the International Students and Exchange Visitors window, running the Update Existing Records function clears what is in the International Students and Exchange Visitors window and does not save it to the Address Master table. See Appendix B for a list of J1 table columns that furnish data retrieved by SEVIS. |
The Create function uses the designated Selection Criteria and controls/parameters entered in the Create/Update SEVIS Records tab on the International Students and Exchange Visitors window to collect existing data (for example, name, U.S. address, foreign address, major, etc.) from J1 tables and populate or update the columns in the SEVIS tables. It selects all ID Numbers from the Biograph Master table where ACTIVE_SEVIS_RCD = Y and ACTION_TYPE = Update and LOCKED_RECORD in the SEVIS_GENERAL table = N and displays corresponding names in the Selected Students/Exchange Visitors tree. If you then select a name in the tree view, that person's information is displayed in the tabs/subtabs. Also, a row is inserted in the SEVIS_STUDENT table even if a valid DEGREE_HISTORY table row does not exist.
The Update function uses the designated Selection Criteria and the controls/parameters entered in the Create/Update SEVIS Records tab on the International Students and Exchange Visitors window to select all ID Numbers from the Biograph Master table where ACTIVE_SEVIS_RCD = Y and ACTION_TYPE = Update and LOCKED_RECORD in the SEVIS_GENERAL table = N and updates the history tables. The appropriate SEVIS_STUDENT row is updated only if a valid DEGREE_HISTORY table row is retrieved.
