Information on configuration worksheets is used to configure the specific module to fit the needs of your organization. Make copies of these worksheets and fill in the copies. You will need to make several copies of some of the worksheets. When the worksheets are finalized, you will want to make copies of the completed worksheets to serve as a reference to the internal design of your system. Your trainer will guide you during the process of completing and entering data from your worksheets into your system.
Most of the worksheets require you to configure items that are only used by your module. A few of the worksheets require you to configure items that are used by more than one module. These worksheets deal with Common database tables. Usually, one office at an institution typically "owns" the information.
The Registration module owns the Location Master, Building Master, and Room Master tables. This means that the Registrar's Office has primary concern and ownership of the data in those tables; however, several other offices on your campus can use those tables. |
Jenzabar recommends that the "owning" office assign the codes after consulting with any other offices that will use them to make sure that the codes will work for everybody and that information needed by other offices is included.
Be sure that you do not fill out a Common worksheet with codes that conflict with those assigned by another office. |
Be sure you understand the implications of the worksheet decisions you make. They are very important to your successful configuration and use of the software. Concentrate on identifying the most useful configuration for the way you want to use the software now as well as in the future. However, if your needs change after you have been using the software for a while, you can add codes at that time. The system will not allow you to delete a code that is used by existing records so you must convert existing records to new codes (using an InfoMaker pipeline) before you can delete old codes. Check with your system administrator if you are considering deleting or modifying any codes.
For each item you will enter on the computer, the worksheet indicates the maximum number of characters you can use for that column and whether they must be all numbers (num) or alphanumeric (char). Alphanumeric columns can take any combination of letters and numbers. The mark "4.2 num" indicates that you can use a number with up to 4 digits followed by a decimal point and up to 2 digits, e.g., 324.65.

YOU WILL WANT TO KEEP A MASTER SET OF ALL COMPLETED WORKSHEETS FOR REFERENCE. These will be used for the setup data entry and for reference for data conversion and training.
The top right corner of each worksheet lists how to navigate to the window where you enter the information on that worksheet. Almost all of the information will be entered in the Administration part of the module. If the system does not allow you to access Administration, you will need to ask your System Administrator to give you the necessary access.
As you enter information, keep the following in mind:
· You cannot put two identical values in a code. You must delete the second identical value; otherwise, you cannot save any additional information on the window. This is what is known as a critical error. A critical error will allow you to continue; however, if you choose to exit, you will lose all newly updated or added information on that window.
· You cannot change a code. You must first delete the code and then add the updated code. You can, however, change the description of a code.
