Setting J1 Archive Configurations

Use the J1 Desktop Archive Configuration window to configure J1 Desktop to automatically and consistently archive old J1 Desktop data. Archiving data improves performance when running J1 Desktop and J1 Web reports and queries. It also reduces the need to sort and scroll through old data. Administrators can use this window to determine which data is archived and how many years of data to retain in the live table/windows for each data subcategory.

Cleanup configurations within the J1 Desktop Archive Configuration window allow administrators to configure the automatic deletion of old data from the live table for specific subcategories. Deleting old data cleans up the live table and helps improve performance for J1 Desktop and certain J1 Web functions. Administrators can use cleanup configurations to determine how long old data is retained in the live table before it is deleted for each data subcategory.

Archive Process

The Archive Process SQL Agent Job is enabled by default and executes at a specific time (late Saturday night) set by the DSU. The job calls the main stored procedure, EXArchiveProcess. It then calls other stored procedures (EXArchive_xxxxxx) to execute specific archive processes, for example, EXArchive_EXInternetSubmissions for the "Internet Submissions" selection and EXArchive_EXWebApplicationServices for the "Web Data" selection on the Archive Configuration window.

For each table to be archived, Jenzabar creates, and delivers with the DSU, the following for processing (does not apply to cleanup configurations):

Select the category of data for which you want to change one or more configurations. J1 Web Calendar Cleanup is the only category that deletes obsolete data instead of archiving it.

Displays subcategories of data related to the Category Name selection. For each subcategory, a corresponding listing appears for the amount of time to retain data in the live table.

For each data subcategory in an archive configuration, enter "Y" if you want the data to be archived or "N" if you want the old data to remain in the live table.
For each data subcategory in a cleanup configuration, enter “Y” if you want the old data to be deleted or "N" if you want the old data to remain in the live table.
For each "[Unit of time] to retain" listing with a corresponding "Y" entry, enter the amount of time you want to keep or delete the data from the live table. For example, if a subcategory description specifies "Years to retain", you would enter '1' in the Value column to retain that data for 1 year. The numeric value must be at least 1, and decimals are allowed.

How To

1. Access the Archive Configuration window.

2. From the Category Name drop-down list, select the category of data for which you want to change one or more configurations. The data subcategories appear.

3. For each data subcategory you want to configure, enter "Y" in the Value column if you want the data to be archived or "N" if you want the old data to remain in the live table.

4. For each data subcategory that will be archived, enter in the Value column of the "[Unit of time] to retain" row the amount of time you want to keep that data in the live table. For example, if a subcategory description specifies “Years to retain”, you would enter ‘1’ in the Value column to retain that data for 1 year. The numeric value must be at least 1, and decimals are allowed.

5. Click Save on the toolbar.

3. For each data subcategory you want to configure, enter "Y" in the Value column if you want the obsolete data to be deleted or "N" if you want the old data to remain in the live table.

For J1 Web Calendar Cleanup, once obsolete Section Schedule timeslots are deleted, they will no longer show up in the J1 Web Calendar and will be permanently deleted from the data table. By default, Section Schedule data is removed 1 year after the Section end date.

4. For each data subcategory that will be deleted, enter in the Value column of the "[Unit of time] to retain" row the amount of time you want to keep that data in the live table. For example, if a subcategory description specifies “Years to retain”, you would enter ‘1’ in the Value column to retain that data for 1 year. 5. Click Save on the toolbar.
