Notification Group Definition Window

Before J1 Desktop can notify persons about the status of a process, these persons must belong to a Notification Group. The Notification Group Definition window is used to create and add persons to a Notification Group. This window contains four tabs:

·       Notification Groups

·       Application Alert Members

·       J1 E-Mail Members

·       External E-Mail Members.

You must save data on each tab before moving to another tab.

When a notification group code is assigned to a process, all groups/users/recipients associated with this code are notified when the process is completed.

Notification Groups Tab

The Notification Groups tab defines the notification groups. Use this tab to define the group (Group Description) and to set the Notification Enabled checkbox. All columns on this tab and the header on the other tabs are saved to the Notification Group Definition table.

When you select a group on the Notification Groups tab, four buttons become available on the remainder of the tabs to use in selecting and moving persons between the Available and Selected groups:

Application Alert Members Tab

The Application Alert Members tab defines application users for each group, who, when logged on, can receive Application Alerts. Members of this group are selected from the Application Users table and saved to the Notification Group Application Alert Member table. Jenzabar recommends that you use this tab to define J1 Desktop users who need to be notified of the status of a process while they are logged into an application. When a J1 Desktop user is configured to receive application alerts, a small icon () appears at the bottom right corner of their J1 Desktop status bar. You can obtain more information about the scheduled process by clicking on the icon.

J1 E-Mail Members Tab

The J1 E-Mail Members tab defines individuals who receive e-mail messages through their e-mail addresses on the Address Master record. If you select the Application User radio button, the Available list is retrieved from the Application Users table. If you select the Individual radio button, only the Add and Remove buttons are available; you must enter an ID Number from the Name Master table, AND that ID Number must have an e-mail address marked for notification (Notification Enabled checkbox selected) in the Address Master table. User data on this tab are saved to the Notification Group J1 E-mail Member table.

External E-Mail Members Tab

The External E-Mail Members tab defines individuals who are not J1 Desktop users. E-mail addresses for this group are not saved to the Address Master table but are saved to the External E-mail Address table. The Available list is retrieved from the External E-mail Address table, and the Selected list is saved to the Notification Group External Member table. The Maintain E-Mail Addresses button opens the External E-Mail Address window.
