Degree Period Window

The Degree Period window allows you to add, view, modify, and delete Degree Periods. Degree Periods are used to:

· Identify the actual commencement or graduation periods on the Degree History window, which allows organizations to identify every graduation period within one academic year.

· Identify the NSC Degree Periods for which the records are being submitted. An NSC Degree Period can include multiple graduation periods to accommodate organizations that submit data to NSC once a year but have multiple graduation periods within that year.

When the final transmittal file is created by the NSC Degree Verification process, the NSC_DEGREE_PERIOD_CDE column is updated on the DEGREE_HISTORY table. This column will then be displayed on the Degree History window for view only purposes. Also, when the NSC Degree Verification file is submitted for a specific degree period, that Degree Period record cannot be edited.

Columns

The Period Code consists of up to 10 characters and identifies actual graduation periods. If you have three graduation periods within an academic year (i.e., one that ends in May, one that ends in August, and one that ends in December), you should define a code for each of these graduation periods.

The Period Description can be up to 80 characters and describes the Period Code. This description is only editable when the Submitted checkbox for this row is cleared.

The Begin Date indicates when this Period begins. This date is only editable when the Submitted checkbox for this row is cleared. Begin and End Dates cannot be overlapping for any of the NSC Periods. A message is displayed if periods have overlapping dates.

The End Date indicates when this Period ends. This date is only editable when the Submitted checkbox for this row is cleared. Begin and End Dates cannot be overlapping for any of the NSC Periods. A message is displayed if periods have overlapping dates.

If you select this checkbox, this Period will be used in the NSC Degree Verification process and will be available for selection in the NSC Degree Period drop-down list on the Degree Verification Data Collection and Transmission window.

This checkbox is NOT editable. When records have been submitted for this Period on the Degree Verification Data Collection and Transmission window, this checkbox is selected and this Period row cannot be edited. If you try to delete a row that has this checkbox selected, the following message is displayed: "Records have been submitted for this period. You must clear the dependent data before deleting this row." Click OK.
