The Payroll module provides features for managing employee, benefit, tax, and position information. It allows you to pay your employees through paychecks or direct deposit transactions. It also enables you to print W-2s and 1095-Cs for employees and to report necessary information to federal and state authorities for tax purposes.
The module allows you to set up all taxes to which your employees are subject. If you provide the information, Jenzabar initially defines these for you. Other setup items are defined for you according to the information you supplied for configuration. Once these items are defined, you can start using the module. Your next task is to enter employees into the system. They are assigned to positions, given benefits, set up to have tax withholdings, and set up for all or a portion of their pay to be deposited directly into their bank account(s). For hourly employees, you specify the expected earnings amount, pay periods and tax periods, hourly. Each time a person's salary changes, their previous salary is written to the Salary History table.
After you have employee information in the system, you can begin using the system for generating paychecks and direct deposits. In order to perform a payroll run, the system needs timecards. Timecards can be entered by hand or generated by the system for all active positions. You can then run reports and check them for accuracy--who is to be paid, how much, etc. Make any changes and then produce checks and direct deposit transactions. After they are generated, you still can decide whether or not they are correct. If not, you can repeat the process. If they are correct, you update employee's records for that pay run. The direct deposit file is placed on tape or diskette and sent to your bank. Invoices are placed in the Accounts Payable module in order to pay federal and state taxes and other liabilities.
All Payroll-related transactions are placed in the General Ledger where they can be edited and posted to the appropriate accounts. The system allows you to send state and federal reporting information via magnetic media (tape or diskette). You are also able to generate the following payroll reports.
· Accrual Summary Report
· Federal Earnings Proof Report
· Federal Unemployment Report
· State Earnings Proof Report
· State Unemployment Report
· W-2 Forms
You can also:
· Perform manual and void check processes
· Enter fringe benefits (which can accumulate as part of or separate from payroll runs)
· Calculate checks (which show paycheck results when changing earnings and deductions)
· Develop gift deductions (which are automatically placed in the Development module to fulfill employee pledges/promises)
· Enter newly hired employees' information (which can be placed in the Employee Master file from the Personnel module)
· Generate 1095-C Forms
