If you plan to assign territories to specific counselors, you must define counselor responsible codes. A default counselor can be specified on the Configure Function window. Enter the initials of the default counselor in the Value column of the DFTCOUNSELOR characteristic. |
The counselor responsible is anyone in your Admissions Office who comes in personal contact with candidates or is responsible for recruitment at your organization. The counselor User ID should be identical to the counselor's login User ID information, and the counselor ID Number should be identical to the counselor's ID Number on the Name Master table.
The counselor User ID and initials are used when defining a candidate to a counselor and entering information in Notepad. Using the counselor ID Number, the Admissions Office can run statistics and reports relating to each specific counselor.
Counselor responsible codes are defined on the Counselor Responsible Definition window.
If a candidate's counselor becomes designated as inactive, the counselor's ID still appears in the Counselor Responsible field, but the counselor's title is blank, and the counselor does not appear in the drop-down list.
Historical candidates still retain their original Counselor Responsible for statistical purposes. But if you see the Counselor Responsible only as initials with no title, then you know the counselor is inactive.
· If the candidate is current, use the drop-down list to assign a new counselor.
· If the candidate is not current, leave the counselor assignment as is to preserve the historical record.
