Drop/Add Status

When dropping a particular course on the Student Registration window, the program will use all the specified information to determine how to handle the course.

·       If today's date is prior to or on the Census Date for the section, the course will be dropped. Depending on whether you have set the Add/Drop period flag on the prompt window, J1 will either delete the record altogether or keep it and change the transaction status column to D for Dropped. A dropped course does not add into cumulative totals, never appears on a transcript, and does not appear on most other displays.

·       If today's date is after the Census Date for the section, J1 looks at the Registration Configuration window settings to determine how to handle a withdrawal. A withdrawn course will still have a transaction status of C (current) and will be updated to H (history) when a grade report or academic update is run. However, if a W grade is assigned on the Grade Entry window (and the Registration Configuration table indicates that an academic update occurs at the time grades are entered), the status will be updated to H (history) at that time.

When a course is dropped and then processed by Accounts Receivable, the Refund Processed flag in Accounts Receivable is set to R. If the course is reinstated by changing the status to C, the Refund Processed flag is initialized to blank.
