Prospective Student Transfer Course Entry

Use this window to enter and evaluate course work for prospective students that has been completed at other colleges or universities against your institutional requirements. The information is stored in the Student Transfer Courses table in Advising. When courses are approved for transfer, you can move them to the Student Course History table in Registration.

Two Main Purposes

The first purpose of this window is to map transfer courses to your school's requirements. The second purpose is to move approved courses to the student's record in the Student Course History table.

Maintain Advisees Window

For the electronic transcript information to show up in the Prospective Student Transfer Course Entry window, the student must considered an advisee. Use the Maintain Advisees window to make them an advisee. There you can create aims for the prospective student, depending on the program into which they will be transferred. Later, if the student decides to actually transfer into your institution, then back on the Prospective Student Transfer Course Entry window, you can use the Transfer Selected Rows to Student Course History button to apply approved courses to the student's career GPA and have the courses appear on their transcript.

Statuses for transfer courses are defined on the Transfer Status Definition window.

Populate the Columns

You can enter the course information manually here, or you can use the Import Files into J1 window to import an EDI transcript, and then process the information here. You can also retrieve courses from transcripts using the Review Internet Submission window.

Here in the Prospective Student Transfer Course Entry window, the Electronic Transcript Submission Course Data section shows the mapping for individual course elements that were retrieved from transcripts. Select a course in the Transfer Courses grid to see the Key Name and Value below.

How Each Column Is Populated

Map Transfer Courses to Requirements

In the Header section of the Prospective Student Transfer Course Entry window, you select your target year and term and your target grading information for the courses you select.

In the Transfer Courses grid, you review and process each course. Use the Requirement column to map the transfer courses to the requirements they fulfill. After review, set the Transfer Status for each course. If you want to accept a transfer course and move it to the Student Course History table, set the Transfer Status as 'A Approved for Transfer'.

Complete the Course Transfers

Use the Transfer Selected Rows to Student Course History button to move approved courses to the Student Course History table.
