Current year and term

Select the year and term on the Registration Configuration window that will be used as the default current year and term for all Registration processes.

Most institutions have academic years that span two calendar years, usually beginning in August or September and running through the following July or August. In Registration, each student course is associated with a four-character column that represents the academic year. Using the Year Definition window, you can define the codes that may be used in the Academic Year column. You can also define the academic year description which prints on the student's transcript and at the top of many reports.

When defining your academic years, keep the following information in mind:

·       Most reports in Registration use the academic year code to select, sort and print. Therefore, code your academic years so they will sort in chronological order.

·       The transcript prints the description, not the code, at the beginning of each term.

·       You must define every academic year for which you have Student Course History. For example, if you have a student on the table with transcript history from academic year 2011-2012, you must define 2011-12 on the academic year definition so the student's transcript will print correctly.

·       Other offices in the organization will refer to the academic year code when they use Registration tables. For example, the Business Office creates charges for a specific year and term. Use codes that will make sense to other offices in your institution.

The academic year coding definition may be made only during the implementation of Registration. After J1 Desktop is implemented, you may not change the academic year codes since such a change would require a re-conversion of your registration data. You may add new academic year codes at any time.
