Cluster Definition Window

You can use the Cluster Code to help identify small group of students [i.e., first-time freshmen, transferred-in, high school students, special admitted students, etc. (example)]. The Cluster Definition window allows you to maintain and add new Cluster Codes. Also, you can associate a Cluster Code to a student on the Student tab of the Student Information window.

The Cluster Code can also be associated with the Charges process in Accounts Receivable by building the Charge Table based on this column. Since this column (STUDENT_CLUSTER) on the STUDENT_MASTER table can be up to 15 characters (varchar) and the corresponding column (CHG_ELEMENT) on the CHG_TABLE can be up to 10 characters (char), Jenzabar recommends that you create Cluster Codes up to 10 characters in length (char) if you are going to base a charge on this column.

A Cluster Code cannot be deleted if dependent data exists. In order to delete the code, you must clear the dependent data.

Columns

This code can be up to 15 uppercase alphanumeric characters and defines the particular group of students.

It has been added to the charges code so that charges will generate when building a charge table to look at this new column. Since this column is a varchar(15) and the charge table column is only a char(10), it might be good to only create student clusters up to ten characters in length if the plan is to base a charge on this column.

This text description of the Cluster Code can be up to 80 alphanumeric characters.

This code can be made 'Active' (select checkbox) or 'Inactive' (clear checkbox). Only 'Active' cluster codes will be available for selection in Cluster drop-down list on the Student tab of the Student Information window.

How Do I...

1. Open the Cluster Definition window.

2. Choose Add Row from the right-click or Options menu.

3. Type the code in the Cluster Code column.

4. Type the description for the cluster code in the Cluster Description column.

5. Select the Active checkbox if it is to be a code that can be used or clear the checkbox to make it inactive.

6. Save.

1. Open the Cluster Definition window.

2. Locate the cluster code that you want to modify.

3. Make the appropriate modification(s).

4. Save.

A cluster code cannot be deleted if dependent data exists. In order to delete the code, you must clear the dependent data.

1. Open the Cluster Definition window.

2. Locate the cluster code that you want to delete.

3. Right-click on the row, and choose Delete Row.

4. Save.
