Never change the name fields of an existing ID in order to create a new candidate. Instead, to add new candidate, click the "Add Row" option on the right-click menu, and create a new ID.
Depending on your permissions, you may not have access to all tabs, subtabs, or buttons. Contact your system administrator for more information.
Right-click anywhere or click the Options menu to launch the following windows:

Available only if the student has financial
aid expected but not yet disbursed.
After you enter an ID Number, the User button is available on the Name, Address, Biograph, and Attributes tabs and opens the User Defined Forms window for the appropriate tab.

Military Service is a tab (or subtab) on several windows with information from the Biograph Master table. Use it to track the a student's military service or selective service status, or to indicate they are a spouse or dependent of a veteran. ColumnsMilitary ServiceIf the person is a veteran, select this check box and select the branch of service from the drop-down list. If the person is on active duty, select this check box and select the branch of service from the drop-down list.
If the person is in the National Guard, select this check box and select the state of service from the drop-down list.
If the person is a member of the Reserves, select this check box. If the person is an ROTC member, select this check box. Enter the date the person entered the service and the date the service ended, if applicable. Select this check box if the person is receiving veterans educational benefits. Select the appropriate benefits program the student veteran is receiving. There are three program types that can be tracked. VA: Select the program the student receives from the U.S. Department of Veterans Affairs. DOD: Select the program the student receives from the U.S. Department of Defense. State: Select the program the student receives from the state.
If the person's service has ended, select the status under which the service ended from this drop-down list.
If the person is either of the following, select this check box: Veteran or active duty service member who suffered a service-related injury or illness The spouse or dependent of a veteran or active duty service member who suffered a service-related injury or illness Spouse or Dependent of Veteran who is deceased If the person is a spouse or dependent of a deceased veteran, select this check box. Spouse or Dependent of Veteran/Active Duty If the person is a spouse or dependent of a veteran or active duty service member, select this check box. This is where you set the veteran status for NSC reports. The options are provided by default and are active by default.

Click this button to open the Hazlewood Recipient Information window where you can view or update biographical data about the service member and Hazlewood exemption term information. If the ID # has more than one tribe affiliation, you can add rows. When you select a row, the details for that tribe affiliation appear below in the Tribal Information Details group box. PermissionPermission to this tab is restricted to these J1 roles: · J1_ADMIN · J1_ADMANAGER · J1_CMMANAGER · J1_REMANAGER If you open this tab but no columns appear, you don't have permission. Even if a Candidacy row is in a stage marked as 'Inactive,' you can edit other data in that Candidacy row via the subtabs on this window. |

It is mandatory to complete the candidate information and designate a year, program, and stage for each candidacy. While a candidate may have several candidacies, only one candidacy can (and must) be current (C). |
1. Open the Maintain Candidacy window.
2. Enter the candidate's name information on the Name tab. Save.
|
You can manually enter an ID Number, or ID Number is automatically assigned to the candidate when you save. Other tabs then become available. |
3. Click on the Address tab. Enter appropriate address information. Save.
4. Click on the Candidacy tab. The General subtab opens. Select Add Rows from the right-click menu or Options menu. Enter candidacy information.

When you select a stage, a message box appears asking if you wish to "Proceed to execute stage change process?" If you click Yes, the candidacy is moved to the selected stage and you are able to save the information entered. If you click No, you will not be able to save the candidacy because a Stage column value is required. |
5. Enter additional information on the Requirements, Fees, and User-Defined subtabs.
6. Click on the Candidate tab, and enter information.
7. If necessary, access remaining tabs (Biograph, Test Scores, Attributes, Relationship, Activities, Organizations, and User-Defined). Enter all information relevant to the new candidate.
8. Save after entering information on each tab.
Add Requirements to a Candidacy
1. Open the Maintain Candidacy window.
2. Right-click in the ID # column to perform Advanced Search (Name Search window will appear).
3. Enter known information regarding candidate's name.
4. Once names are displayed, double-click on the correct name, which will default to the Maintain Candidacy window.
5. Click the Candidacy tab.
6. Click the Requirements subtab.
7. Choose Add Row or Insert Row from the right-click menu or Options menu.
8. Select from the drop-down list boxes, type in the necessary information, and select the appropriate check boxes to add additional requirements.
9. If you want to add other requirement lists, choose Select Requirements from the right-click menu or Options menu.
10. The Requirement List window opens.
11. Highlight the appropriate requirement list rows.
12. Click the Add To Requirements button.
13. The following message appears: "Add the requirements on this list to the candidate under consideration?"
a. If you click Yes, the requirements will be added to the Requirements subtab on the Candidacy tab.
b. If you click No, you will be returned to the Requirement List window where you can select additional requirement lists if desired.
14. Save when all data has been entered.
Enter Class Rank for a Candidate

When you enter values in the Rank and Size columns, values for the Rank Percentile, Quartile, Quintile, and Decile rank columns will be calculated automatically. |
1. Open the Maintain Candidacy window.
2. Enter an ID Number, and press Enter.
3. Click the Organizations tab.
4. On the Org Tracking subtab, select an organization.
5. Click the Additional Info subtab.
6. Enter the Class Rank and Class Size.
7. Press
Enter.
The system calculates and populates the Rank
Percentile, Quartile,
Quintile,
and Decile columns.
8. Save.
Enter an Organization for a Candidate if the Organization is not in the Organization Master table
1. Open the Maintain Candidacy window.
2. Enter candidate's ID# or right-click on the ID# column to perform an Advanced Search for the appropriate candidate and double-click on the name.
3. On the Candidate tab, right-click and select Organizations for Candidate. The Organization Tracking for Student window appears.
4. Right-click and select Org Master. The Maintain Organization Master window appears.
5. Click the Add Name button. The Name Entity window appears. The Name Option radio button automatically defaults to B (Business/Organization).
6. Enter the organization name in the Last, First, Middle Name column.
7. Save. This creates an ID# for the organization. Note the ID Number.
8. Click the Address tab. The Address Code will default from the Current Address column on the Business/Organization tab. Enter other needed/required information. Save.
9. Click the Relationships, Attributes, and Notepad tabs to enter additional information. Save information on each tab before going to the next tab.
10. Close the Name Entity window.
11. In the Maintain Organization Master window, chose Add Row or Insert Row from the right-click menu or Options menu.
12. Type in ID# and press the Tab key. The Organization Name column is populated. Type in Organization Code, Organization Type, and School Type.
13. Save.
14. Close the Maintain Organization Master window.
15. You can now enter the organization in the Organization Tracking for Student window by entering the Organization Code or the Organization ID. Enter the optional Begin Date and End Date.
16. Save.
Enter an Organization for a Candidate if the Organization is in the Organization Master table
1. Open the Maintain Candidacy window.
2. Enter candidate's ID# or right-click on the ID# column to perform an Advanced Search for the appropriate candidate and double-click on the name.
3. Click the Candidate tab. Right-click in the High School column, and select Advanced Search.
4. The Name Search window appears. Type the organization name in the Last Name column, and press Enter.
5. Double-click the organization name. The ID Number is populated in the High School column, and the organization name is populated in the column to the right of the High School column.
6. Save.
7. Select Organizations for Candidates from the right-click menu or the Options menu. The Organization Tracking for Student window appears with the ID# and High School columns populated. Enter the optional Begin Date and End Date.
8. Click the Additional Info tab. Enter additional information (e.g., transcript received dates, graduation year, degree, rank, GPA, etc.).
9. Save.
Add a Scholarship Attached to a Candidacy

If you delete a Candidacy row, all attached AD Scholarship rows also will be deleted. |
1. Open the Maintain Candidacy window.
2. Enter the appropriate ID Number.
3. Click the Candidacy tab.
4. Click the Scholarships subtab.
5. Choose Add Row or Insert Row from the right-click menu or Options menu.
6. Select the appropriate scholarship type from the drop-down list. Enter or select related information in the row (dates, amounts, etc.) Note that the Transferred to PF checkbox currently has no automated functionality.
7. Save.
Edit a Scholarship Attached to a Candidacy

If you delete a Candidacy row, all attached AD Scholarship rows also will be deleted. |
1. Open the Maintain Candidacy window.
2. Enter the appropriate ID Number.
3. Click the Candidacy tab.
4. Click the Scholarships subtab.
5. Locate the row you want to edit and edit accordingly. Note that you cannot edit the Scholarship Type column.
6. Save.
Delete a Scholarship Attached to a Candidacy

1. Open the Maintain Candidacy window.
2. Enter the appropriate ID Number.
3. Click the Candidacy tab.
4. Click the Scholarships subtab.
5. Choose Delete Row from the right-click menu or Options menu.
6. You will receive the following message: "You are about to delete this row. Are you sure?"
7. Click Yes.
8. Save.
Enter Transcript Information to a Candidacy
1. Open the Maintain Candidacy window.
2. Enter an ID Number, and press Enter.
3. On the Candidate tab, select Organizations for Candidates from the right-click menu or Options menu.
4. The Organization Tracking for Student window opens.
5. Highlight the appropriate row, and click the Additional Info tab.
6. Enter information from the transcript.
7. Save.
1. Open the Maintain Candidacy window.
2. Enter an ID Number, and press Enter.
3. Click the Candidacy tab.
4. Click the General subtab.
5. Enter the appropriate change.
6. The following message will display: "A change in this "XX" field will cause the record to be saved. Continue?"
a. If you click Yes, the change will appear in the Candidacy row in the top pane of the tab and saved to the Candidacy table.
b. If you click No, the change will not be saved to the Candidacy table.
1. Open the Maintain Candidacy window.
2. Enter an ID Number, and press Enter.
3. Click the Organizations tab.
4. On the Org Tracking subtab, select an organization.
5. Click the Additional Info subtab.
6. Enter the Grade Point Average.
7. Save.
Enter Application/Enrollment Payment Fees & Dates for a Candidate
1. Open the Maintain Candidacy window.
2. Enter the appropriate ID Number, or right-click in the ID# column and choose Advanced Search to perform a name search.
3. Once names are displayed, double-click on the correct name. It will appear in the Maintain Candidacy window.
4. Click the Candidacy tab.
5. Click the Fees subtab.
6. Type in or select from the drop-down lists the appropriate payment information.
7. Save.
View Anticipated Aid Report for a Candidate

You may not have access to this window. |
1. Open the Maintain Candidacy window.
2. Enter the ID # of the candidate whose financial aid you want to view.
3. Choose Financial Aid from the right-click or Options menu. If this ID # has no award or if the award has already been disbursed to the Business Office, the Financial Aid option is not available.
4. The Anticipated Aid Report window opens with financial aid information for the ID#.
5. To print the report, choose File | Print.
6. To close the report window, choose File | Close.
Enter Military Service Information Related to a Student
If the value you need for a column isn't listed, right-click and select Maintenance Screen to create a new value. |
1. Access the Biograph tab displaying information for the student for whom you wish to enter military service information.
From the HR Employee Master via Personnel window, enter or search for the student's ID #. The student's ID number and name appear and the Name tab is active. Access the Biograph tab. |
2. Access the Military Service subtab.
3. If the person is a veteran, select the Veteran of checkbox and select the branch of service from the drop-down list.
4. If the person is on active duty, select the Active Duty with checkbox and select the branch of service from the drop-down list.
5. If the person is in the National Guard, select the National Guard checkbox and select the state of service from the drop-down list.
6. Select the Reserves and ROTC checkboxes as needed.
7. Enter the date the person entered the service and the date the service ended, if applicable.
8. If the person is receiving veterans benefits,
a. select the Receiving Veterans Benefits? checkbox, and
b. select the applicable values from the VA, DOD, and State drop-down lists.
9. If the person's service has ended, select the status under which the service ended from the Exit Status drop-down list.
10. If the person is either of the following, select the check box labeled Veteran/Active Duty or Spouse/Dependent of a Veteran/Active Duty who has suffered service related injury/illness:
· Veteran or active duty service member who suffered a service-related injury or illness
· The spouse or dependent of a veteran or active duty service member who suffered a service-related injury or illness
11. If the person is a spouse or dependent of a deceased veteran, select the Spouse or Dependent of Veteran who is deceased checkbox.
12. If the person is a spouse or dependent of a veteran or active duty service member, select the Spouse or Depended of Veteran/Active Duty check box.
13. For reporting to the National Student Clearinghouse, select a value from the drop-down for NSC Veteran Status.
If you are licensed for Texas State Reporting, the Maintain Hazlewood Recipient Details button is available to open the Hazlewood Recipient Information window where you can view or update biographical data about the service member and Hazlewood exemption term information. |
14. Select the person's Selective Service Registration Status.
15. Enter or select the date the person registered with the Selective Service, if applicable.
16. In the Financial Aid ISIR Information group box, the most recent award year defined in PowerFAIDS is selected automatically. You can view other years for the student by selecting any available in the drop-down list. The following information is displayed from PowerFAIDS:
· Award Year
· Gender
· Date of Birth
· Selective Service Registration Request
· Selective Service Registration Outcome
A PowerFAIDS Database Connection (ODBC) is required. If the ODBC connection to PowerFAIDS fails, the follow message appears: "No connection to the PowerFAIDS database is available to display the ISIR Information." |
Enter Tribal Information for a Person
1. Open any of these windows:
· Maintain Biographical Information
· Name Entity window | Biograph tab
· Review Internet Submissions | Biograph tab
· Biographical Data window | Biographical tab
2. Click the Tribal tab or subtab.
3. In
the Tribal Information Details
group box, select a Tribal Affiliation
from the drop-down list.
If the tribe isn't available in the drop-down list, do this:
a. Right-click Tribal Affiliation, and select Maintain Definitions. The Maintain Definitions window appears. This window is identical to the Tribal Affiliation Definition window.
b. Right-click and select Add Row.
c. Add a new tribe to the list.
4. Enter Lineage, Enrollment, and Agency information as needed, and click the Save button on the main toolbar.
5. To enter more than one tribal affiliation, right-click a row in the Tribal Information Overview data window, and select Add Row.
6. In the Tribal Information Details group box, enter Tribal Affiliation, Lineage, Enrollment, and Agency information as needed, and click the Save button on the main toolbar.
