Update Advisor and Degree Information

The Student Term Summary by Division table has columns to capture a point-in-time snapshot of Degree, Major, Minor and Advisor columns. You must determine whether or not to update the student snapshot columns where the Year and Term equal the settings on the Registration Configuration window and the Division Code equals the Current Student Division. The Degree, Major, and Minor columns are taken from the Degree History record marked as the current degree.

This process uses the Snapshot Taken for Term? flag on the Student Term Summary by Division table to determine whether or not to update the student. If you select this checkbox ('Y' on the Recalculate Academic Record window, the Degree, Major, Minor, and Advisor columns will be updated and the Snapshot Taken for Term? flag will be set to 'Y'. However, if any of the selected ID Numbers have been previously updated (Snapshot Taken for Term? flag already equal to 'Y') and the Overwrite Existing Information checkbox is cleared ('N'), then only those students with 'N' in the Snapshot Taken for Term? column will be updated. If the Overwrite Existing Information checkbox is selected ('Y'), the Degree, Major, Minor, and Advisor columns will be updated regardless of the value of the Snapshot Taken for Term? flag.

When the Major, Minor, and Advisor columns are updated, the current date/time is stamped on the Snapshot Date column.
