Maintain Authorization Groups Window

This window allows you to define groups and the criteria to select the instructor for that group for which to update instructor course permissions for doing authorizations in the Course Authorizations portlet and access to other instructors' courses via the Faculty Course Control portlet in campus portal (JICS).

When this window opens, only active groups will display. If you want to view an inactive group, select the group from the Group drop-down list.

How do I...

1. Open the Maintain Authorization Groups window.

2. Right-click on the data pane on the left-hand side of the window and select Add Authorization Group.

3. Enter Group Code and Group Description in the Detail tab.

4. If a Query is to be used for this Authorization Group, select Query Source and Query.

5. The Begin Date will default to the current date, but it can be changed.

6. The End Date should be left at 00/00/0000 (this date will be updated when the group is made inactive).

7. Select the Authorization Group Status. By default, this will be set to Active for a new group.

8. If Filters are set up on the Course Authorization Permission Config Window, select any values that apply to the group.

9. Click Save.

2. Right-click on the authorization group in the data pane on the left-hand side of the window and select Deactivate Group to open the Deactivate Group window to confirm group deactivation.

3. Choose whether to select the Revoke Course Authorization for the group's members checkbox:

a. Select this checkbox to revoke course authorizations for non-instructors immediately.

b. Leave this checkbox cleared to deactivate the group when a Synchronize Update is run via the Synchronize Course Permissions window.

4. Click Yes to deactivate the group. The Authorization Group Status will be set to Inactive, and the End Date will be set to current date. All group members will be deactivated as well.

5. Click Save.

1. Open the Maintain Authorization Groups window.

2. Right-click on the authorization group in the data pane on the left-hand side of the window and select Delete Authorization Group.

3. Click Yes to confirm deletion of the group. If historical data exists for the group, the historical data in the FACULTY_LOAD_TABLE will be cleared and the group will be deleted from the COURSE_AUTH_GRP and COURSE_AUTH_PERM tables.

4. Click Save.

It is recommended that you deactivate a group, as opposed to deleting it, unless the group was entered in error.

1. Open the Maintain Authorization Groups window.

2. Right-click on the authorization group in the data pane on the left-hand side of the window and select Add Instructor to open the Faculty Information pane.

3. Enter Instructor ID to select the instructor (you can right-click on this column and select Advanced Search to search for a faculty member on the Name Search window).

4. Select Web Grading and Permission Type for the instructor.

5. The Begin Date will default to the current date, but it can be changed.

6. The End Date should be left at 00/00/0000 (this date will be updated when the group is made inactive).

7. Select Instructor Status. By default, a new instructor added to a group is marked as Active.

8. Click Save.

2. Click on the expand box (+) next to the authorization group in the data pane to expand its tree and view the instructors assigned to that group.

3. Right-click on the instructor and select Replace Instructor to open the Replace Instructor window. The current instructor's ID will default into the window.

4. Enter the new instructor's ID (you can right-click on this column and select Advanced Search to search for a faculty member on the Name Search window).

5. Choose the groups in which the current instructor is to be replaced with the new instructors:

a. If you choose to replace the current instructor for All Groups, the current instructor will be deactivated in all current authorization groups and the new instructor will be assigned to those groups.

b. If you choose Select Groups, click the select button (...) to open the Select Groups to Update Window. Select the checkbox next to the groups for which the current instructor will be replaced with the new one.

6. Select the Replace Permissions on Active Courses? checkbox to update the course authorization on the Faculty Load Table immediately upon clicking the Replace button. If you do not select this checkbox, the permission will be updated with the next Synchronization Update.

7. Click Replace to replace the current instructor with the new instructor.

8. Save.

2. Click on the expand box (+) next to the authorization group in the data pane to expand its tree and view the instructors assigned to that group.

3. Right-click on the instructor and select Deactivate Instructor to open the Deactivate Instructor window.

4. Choose the groups in which to deactivate the instructor:

a. If you choose to deactivate the instructor for All Groups, the instructor's status will be set to Inactive for all authorization groups in which he is an active member.

b. If you choose Select Groups, click the select button (...) to open the Select Groups to Update window. Select the checkbox next to the groups for which the instructor will be deactivated.

5. Click the Revoke Access to Active Courses? checkbox to update the permission in the Faculty Load table upon clicking the Deactivate button. If you do not select this checkbox, the permission will be updated with the next Synchronization Update.

6. Click Deactivate to deactivate the selected instructor. This will set the instructor status to Inactive and set the instructor's end date to the current date.

If you choose to delete the instructor, any active rows with this Instructor ID currently on the Course Authorization Permission table will be removed.

2. Click on the expand box (+) next to the authorization group in the data pane to expand its tree and view the instructors assigned to that group.

3. Right-click on the instructor and select Delete Instructor.

4. Click Yes to confirm deletion of the Instructor.

5. Save.

3. The Synchronize Course Permissions window opens.

4. Read the instructions on this window.

5. Select the Groups and Other Options.

6. Click Synchronize.
