This is the recommended first step in processing CommonLine Loan Disbursements.

Check this checkbox to run the process without updating award amounts in the Student Loans table or creating transactions in the AR and GL modules. This allows you to see any errors and correct them before you actually run the disbursement. Review the Loan Disbursement Error Report for any issues.

This column displays the transaction date for the transactions generated in the student accounts receivable in Business Office. The default is today's date. This date may be changed during an actual run; however, it is strongly recommended that you do not change this date or change it only to coincide with the disbursement date of the roster if different from today.

This selection makes the File Name column available for you to edit. The following message displays on the window: "Previously Unprocessed Disbursements will be processed with this file."

This selection makes only the Folder column available for you to edit. The following message displays on the window: "Previously Unprocessed Disbursements will be processed with this option, even if disbursement rosters are not found in the selected folder." All CommonLine loan disbursement rosters in the folder will be processed individually by date, starting with the earliest date.

This selection makes neither the File Name nor the Folder column available for you to edit. The following message displays on the window: "Only previously Unprocessed Disbursements will be processed with this option."

This column indicates the location of the CommonLine loan disbursement file that will be imported into the Financial Aid Manager module. The file was created by PowerFAIDS and will have a .txt extension.

Click the file icon to the right of this column to open the Choose a file window where you can navigate to the directory in which the file will be stored.

This column displays the entire path to the File Name.

When the All Files in This Folder radio button is selected, you can change the folder by clicking the file icon to the right of this column. The Choose a folder window opens and allows you to specify the directory in which the file will be stored.

Click the Process button to launch an interactive run.

If you have appropriate permissions and if you have the J1 Client Application Services installed on your machine, the Schedule button is available for you to schedule this process to run automatically.

In-House loans and Direct Loans are both processed through the Disbursements and Adjustments to Student Accounts update task.

1.    Open the CommonLine Loan Disbursement window.

2.    Select the Trial Run checkbox to view the disbursement information on your screen without updating award amounts or creating transactions.

Running the report as a trial run before the actual run allows you to see any errors (on the Loan Disbursement Error Report) and correct them before you actually run the disbursement. No award amounts are updated in the Student Loans table and no transactions are sent to the AR or GL modules in a trial run.

The Transaction Date column defaults to today's date. This date may be changed during an actual run; however, it is strongly recommended that you do not change this date or change it only to coincide with the disbursement date of the roster if different from today.

3.         In the What to Process group box, enter or navigate to the file name and folder where the CommonLine Loan Disbursement Authorization roster generated by PowerFAIDS is located.

This is not the CommonLine Disbursement roster received from your loan servicer.

·       To update the File Name column, select the Single File radio button.

·       To update the Folder column, select the All Files in This Folder radio button. All disbursement rosters in the folder will be processed individually by date, starting with the earliest date when All Files in This Folder is selected.

·       If you select the Unprocessed Disbursements Only radio button, neither the File Name nor the Folder column is available for you to edit. Only previously unprocessed disbursements will be processed if Unprocessed Disbursements Only is selected.

4.         Click the Process button to launch an interactive run OR click the Schedule button to schedule the process for a later and/or recurring time.

The Schedule button is only available if you have J1 Client Application Services installed on your machine and you have been assigned the proper permissions.

If any errors occur during processing, an error message and the Disbursement-Adjustment Error-Audit Report and Loan Disbursement Error Report appear. If this is an interactive process run, the error reports are stored in the location you specify. If this is a scheduled task run, they are stored in the Attachment table.

5.         When you are ready to send the file to AR, run this process again, clearing the Trial Run checkbox. The file will go to AR as an LO transaction group.

The CommonLine Student Loans window, the Financial Aid tab of the View Student Information window, and the Financial Aid tab of the Financial Aid Inquiry window display loan information that was successfully uploaded from the PowerFAIDS CommonLine Loan Disbursement Authorization roster.
