Adjustments

The Accounts Receivable module automatically adjusts student charges when the amounts increase.

If a charge is assessed for students at one point during a term but and later the charge needs to increase, an adjustment is necessary. If the amount of the charge is increased on the Charge Table, the next time charges are generated, the students who were charged the lower amount will have an adjustment made to equal the higher amount.

The charge for Roselawn parking permits was $20 at the beginning of the term. Students living in the Roselawn dorm with a vehicle were charged this amount. Later, the charge was raised to $25 because of damages. You should make the change on the Charge Table and generate charges again. The students living in the Roselawn dorm with vehicles will be charged an extra $5 since the Fees table had recorded that they were previously charged $20. These adjustments are made by the system automatically, and no setup steps are necessary.

You can make manual adjustments to a student's account. Usually the source for this group of transactions is MS; however, your organization may choose to use other source codes, as well.

You can manually enter adjustments using the following:

·       The Transaction Entry window (if you are not using the Open Items) in the General Ledger module.

·       The Miscellaneous Charge Entry via the Miscellaneous Charges window.
