J1 Organization Codes

The Organization Code used throughout J1 Desktop is a single six-character code that is used to identify organizations in a number of module areas and windows. This Organization Code could come from standard lists of codes (ACT, CEEB/CEEBACT, IPEDS, FICE, etc.) or be a code that is completely made up by J1 Desktop users. If you use a standard code that is less than six-characters, just add leading zeros. These codes are defined and associated with Organizations on the Maintain Organization Master Window.

 

If a college's ACT code is 6135, enter 006135 or 6135__ in the six-character column. If you need codes with more than six digits, use the Maintain Organization Master Organization Codes window to define the code.

When you access organizations in the any of the J1 Desktop modules, you will use this six-character code to access the organization record on the Organization Master table. From this table, the processes use the ID Number to access the organization's name and address in the Name Master table and the Address Master table.

 

Registration: In the header on the Transfer Entry window, the Default Org column is used to default an organization code into rows as they are added in the detail portion of the window. The organization code attached to each Student Course History row is displayed in the main course data window. When that window opens, the system defaults the first organization code found in the window to the Default Org column. Because students usually do not attend multiple organizations during the same year and term, this facilitates data entry.

The Organization Code columns in some J1 Desktop windows can be populated via the Organization Master Lookup window. Open this window by clicking the ... button beside the Organization Code column or by choosing Organization Master Lookup from the right-click menu options.

Other Organization Code columns can be populated via a drop-down list. However, the drop-down list is empty for the column when you click on the down arrow.

·       To retrieve all of the organization codes in the system, press the space bar or enter the % sign (wildcard).

·       To retrieve a particular organization, type part of the name and select one of the organizations retrieved by the search. For example, if you type East and press the space bar, the system will retrieve all organizations whose name begins with the letters East . . . (e.g., East Wood High School, Eastern College, etc.).

Typed Organization Codes

There are times when you need to use an organization code of a specific type. These typed Organization Codes can be defined and associated with an organization in the Organization Master Organization Codes window. In this window you can associate multiple Organization Codes of specific types with an organization. So you could enter codes from all or any of the standard lists of codes (ACT, CEEB/CEEBACT, IPEDS, FICE, etc.) for a single organization.

To add additional organization codes by organization code type, use the Maintain Organization Master Organization Codes window. When you open this window, the default Organization Code from the Maintain Organization Master window is displayed in the header. These typed Organization Codes can have a maximum of 15 characters.

·       ACT (formerly American College Testing Program) provides a set of four-digit codes for post-secondary organization.

·       College Board provides a set of numbers (CEEB or CEEBACT Codes) for organizations. Post-secondary institution numbers are 4 digits, and high school numbers are 6 digits.

·       National Center for Education Statistics (NCES) issues the IPEDS codes used for IPEDS reporting.

·       The FICE code is a six-digit identification code that was assigned to each higher education institution (two-year and above) and used to identify all schools doing business with the Office of Education during the early sixties. This code is no longer used in IPEDS; it has been replaced by the Office of Postsecondary Education (OPE) ID code. FICE codes are often still used in higher education to identify schools.

·       OPEID is the identifier assigned by the Office of Postsecondary Education and is eight characters long. This code is also tracked in the Maintain OPE Codes window.

·       MUTUALDEF is a code type that can be used to hold codes for data exchange purposes that are known to Organizations on both ends of the exchange.

You can also define you own Organization Code types to use in state and other reporting. In Texas, a TRS code type would be used to define the code for the local institution used in reporting Texas Teachers Retirement System data.
