Use the Student Information tab to view or update student information used to determine charge amounts.
The Discount Type column can determine discounts, if any, the student may receive on certain charges. This is helpful for verifying the student's information if they were not charged as expected. |
Use the Student Term Information tab if you need to access billing settings specific to a term.
Many of the columns on the window display information maintained in the Registration module and are view-only. Information can be added or updated as it occurs or becomes available.
Enter or select the student's ID number.
When you place the cursor in any ID Number column and right-click, you are offered the Advanced Search and Previous Name options. If the Advanced Search option is selected, the Name Search window appears. If the Previous Name option is selected, the last used ID Number is retrieved and displayed in this field, and the associated name is automatically displayed in the Name field. |

Displays the student's name.
Displays the student's date of birth.
Select, review, or update the student's entrance code status from the drop-down list.
Entrance codes are defined by your organization on the Maintain Table Values window. |
Displays the student's Social Security number.
Apply Financial Aid to Miscellaneous Charges
If financial aid credits must be applied to any open items miscellaneous charges, select this checkbox.
This checkbox is only available if you have selected Open Items in the A/R Configuration window and are licensed to use the Financial Aid Interface. |
This option determines the 1098-T format the selected student will receive. Printed statements will be mailed by the school, and Electronic statements will be sent to JICS where the student will be able to download and print their forms.

This preference is decided by the student. Students should give consent to change this option. If a change is made, the student must be notified. |
Select, review, or update the lifetime billing period assigned to this student.
Lifetime billing periods are defined for fees that are typically charged to the student once. These can include application, transcript, graduation fees, etc. |
Enter, review, or update an override date on which the student's new preliminary and official billing is due.
This field is used for special circumstances that require a change to only this student's billing date. The new billing date is considered both preliminary and official and is displayed in the Billing Period Dates text. |
Displays the preliminary billing date as well as the official billing date.
These dates are set up on the Billing Periods window in the Preliminary Bill From/To Days and Actual Bill From/To Days fields. The numbers entered into these two fields either add days to or subtract days from the lifetime billing period's Start Date. If there is a Billing Override Date, that date is displayed here as both the preliminary and official date. |
If a third party is responsible for billing, select, enter, or review the third party's ID Number.

Displays the name or description of the selected Third Party Bill ID.
Select, review, or update the type of student or the general student group of which the student is a member from the drop-down list.
Some organizations use this information to determine the amount of charges assessed for students. |
If you need to add, remove, or delete holds or view detailed information about existing holds on the student's account, including the one displayed in the Business Office Flag field, click this button to open the Manage Holds window.
Select, review, or update any business office holds on a student's account.
To
view detailed information about the hold or add a new hold,
click the Holds
icon or the View/Add
Additional Holds button.
If the student is supposed to receive a discount, enter, review, or update the code that identifies the kind of discount.
Discount tables are defined on the Charges/Refunds Definition window and can be attached to a regular charge. When students receive that charge, if they have the discount type defined for that Discount table, they will receive a discount/credit for the associated charge. |
Displays the student's status as a resident or a commuter.
Displays the program of study under which the student was admitted.
Displays the student's residence hall room number or name.
Displays the student's residence hall location.
Displays the total hours for which the student has registered throughout his or her entire career, including the current enrollment period (year/term).
Displays the name of the student's residence hall building.
Displays the number of courses for which the student is registered for the current enrollment period (year/term).
Displays the student's meal plan.
Displays the most recent year that the student has been enrolled in a course.
Displays the most recent term that the student has been enrolled in a course.
Displays certifications obtained by the student.
Certifications may be associated with your organization or another organization. |
Displays the student's division code and description. Examples may include UG Undergraduate and CE Continuing Education.
Displays the code for the student's class.
Displays the academic year the student is expected to graduate.
Displays the academic term the student is expected to graduate.
If the student is pursuing or has several degrees or certifications, this checkbox designates which one is the most current.

If the student is visiting from another institution, this checkbox is selected.
If an agreement is required, this checkbox is selected.
If an agreement has been made, this checkbox is selected.
If an information update is required, this checkbox is selected.
If an information update has been made, this checkbox is selected.

Add, Review, or Update Student Information Impacting Charges
1. Access the Student Information Impacting Charges window.
2. Enter or select the student's ID Number.
3. Access the Student Information tab.
4. Select, review, or update how the student is entering your school in the Entrance Code drop-down list.
5. If financial aid credits must be applied to any open items miscellaneous charges, select the Apply Financial Aid to Miscellaneous Charges checkbox. If financial aid credits should not be applied to any open items miscellaneous charges, deselect the Apply Financial Aid to Miscellaneous Charges checkbox.
This checkbox is only available if you have selected Open Items in the A/R Configuration window and are licensed to use the Financial Aid Interface. |
6. Select, review, or update the student's Lifetime Billing Period from the drop-down list.
The Billing Period Dates text updates to reflect the preliminary billing date and official billing date for the selected lifetime billing period. |
7. If the student's billing date needs to be different than the standard billing date, enter, review, or update this date in the Billing Override Date field.
The override billing date is considered both preliminary and official and is displayed in the Billing Period Dates text. |
8. If a third party is responsible for the bills, enter or select their ID from the Third Party Bill ID drop-down list. The third party's name or description appears in the Name field.
9. Select, review, or update the type of student or the general student group of which the student is member from the Tuition Type drop-down list.
10. If the student qualifies for a discount, select, review, or update the appropriate Discount Type from the drop-down list.
11. If there should be a flag on the student's account to hold their registration for business office reasons, such as failure to pay their bill, select, review, or update the appropriate option from the Business Office Flag drop-down list.
12. If
holds exist and you need to view, add, or update holds information,
click the Holds
icon or the View/Add
Additional Holds button. The Manage
Holds window opens where you can review or make needed updates.
13. Click the Save button.
Add, Review, or Update Student Term Information Impacting Charges
1. Access the Student Information Impacting Charges window.
2. Enter or select the student's ID Number.
3. Access the Student Term Information tab. If information exists in the Student Term table, it appears in the Student Term Settings for Billing grid.
4. Click on a row in the grid. The Student Term table settings for that year and term appear in the Student Term Table Billing Settings for... group box.
5. Edit the Student Term table information as necessary.
The Year and Term cannot be edited. |
