Institutional Requirements

The establishment of institutional requirements is the basic foundation of the Advising module. The course catalog is used to identify specific degree requirements by defining a relationship between one or more courses. These relationships are then grouped together to form aims, which are assigned to students. When these aims are reached, their graduation requirements are met.

Institutional requirements measure both the quantitative achievements of a student (i.e., whether or not a course was taken and how many hours were earned) as well as the qualitative achievements (i.e., how many quality points were earned and the GPA.

The setup of institutional requirements varies depending on your catalog and course offerings. It is necessary to ensure that a copy of your course catalog can be made available so that the structure of your institution can be evaluated for the correct implementation of the software.

Advising requirements can be grouped together to represent curriculum and graduation requirements. These groups are identified as institutional requirement areas in the Institutional Requirement Areas table.

The evaluation criteria may be specified for a particular instance of a requirement that has been defined as the child of a parent requirement. By default, when a requirement is specified as the child of another requirement, the criteria that the child requirement must meet are inherited from the Advising Requirement Codes Definition table for that child requirement. However, a child requirements evaluation criteria may be overridden for the instance under a specific parent requirement in the Institutional Requirement Areas table.

If requirement BIOELT has a minimum GPA requirement of 3.0 and is used as a child of GENBIO, it is possible to change the required minimum GPA value for BIOELT to another value such as 2.5 by specifying a GPA value of 2.5 for the instance of BIOELT as it appears in the definition of GENBIO. If BIOELT is used anywhere else, it will still default to a GPA requirement of 3.0 unless overridden wherever it appears as part of another instance.

Identifying Institutional Requirements

An administrator within the Advising system has access to the Activity Centers that allow you to identify institutional requirements. The Institutional Requirement Trees window is divided into two sections: the left section contains a visual representation of the requirement trees information as it relates to the "parent" requirement, and the bottom section contains specific details on the "child" or referenced requirement. You may begin defining your institutional requirements by selecting a requirement.

The institutional requirements that have been defined for your institution are very instrumental for the successful implementation of the Advising module. While the initial setup of these requirements will be time consuming, they will prove to be extremely beneficial in the structure of your advising requirements.
